This is an opportunity for a highly versatile individual to work in a fast-paced environment providing executive administrative support to the Vice President & General Manager (VP/GM) in Agilent’s Chemistries & Supplies Division.
The Executive Assistant manages a broad range of advanced, diversified tasks and details. The ideal candidate must have exceptional judgement, comprehensive experience, skill and knowledge of company operations, policies, practices, and procedures. Requires proficiency in a broad range of administrative and operational activities. The ideal candidate will have experience assessing and anticipating executive manager needs and be comfortable with making independent decisions and happy with multi-tasking.
The candidate will be in a unique position to provide executive manager support and contribute to Agilent's growth and success.
Responsibilities include:
Proactively manages calendars and schedules, including coordinating meeting logistics globally, as well as recurring internal staff meetings and other senior level meetings.
Maintains awareness of significant deadlines and plans proactively for them.
Participates in staff meetings, distributes meeting notes and monitors action item completion when needed.
Coordinates all aspects of travel arrangements including: booking flights, hotel and local transportation; providing agendas and itineraries; and arranging visa/passport requirements as needed. Prepares and reconciles travel expense reports.
Manages calendar for internal and external events, possibly assisting with the development of content and slides, planning and management of webcasts so VP/GM is prepared for each engagement.
Communicates professionally with internal customers, external suppliers, other leaders and employees at all levels of the company.
Manages creation and tracking of purchase orders. Works with the internal procurement team to add new suppliers to the vendor database, then works with finance to track monthly expenses.
Management of Division’ internal SharePoint site.
Responsible for ensuring Org Charts are maintained and updated on Internal Group site.
Business Asset Coordinator (BAC). Responsible for tracking and updating asset management database.
Space planner/coordinator of office footprint at Little Falls Site for existing employees and onboarding of new hires
As needed, may participate in and/or lead projects within the function such as employee engagement programs.
Bachelor's Degree or equivalent work experience.
3+ years supporting at the Vice President level
Requires the ability to direct questions and solve problems independently.
Excellent judgement and discretion.
Must be able to work with employees at all levels of the company
Ability to professionally engage with demanding and sometimes challenging stakeholders
Strong verbal and written communication skills
Current computer skills & user of Microsoft 365 business applications such as Word, Excel, and PowerPoint.
Proficient in use of collaboration tools such as SharePoint, Microsoft Teams, Zoom, Telepresence systems
Ability to work independently and as part of a team
Proven time management and organization skills
Requires thorough knowledge of company operations, policies and procedures. Applies knowledge of the job and company policies to complete routine and non-routine assignments. Assignments are complex in nature and require creative problem-solving, and deadlines are often narrow.
