We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to the Board at Hayat.

This role is responsible for supporting board-level operations, ensuring effective coordination, communication, and administrative excellence across all board-related activities.


Responsibilities


  • Coordinate and manage board-level activities, including scheduling meetings and organizing annual calendars.
  • Organize and prepare meeting materials, presentations, and documentation in a timely and structured manner.
  • Record and maintain meeting minutes, decisions, and official documentation in line with corporate governance standards.
  • Act as a key liaison between board members, senior management, and relevant stakeholders, ensuring smooth and professional communication.
  • Track and follow up on action items and key decisions.
  • Coordinate and manage business travel arrangements related to board activities, including planning, logistics, and itinerary management.
  • Ensure proper document management, archiving, and confidentiality of all board-related information.
  • Support governance-related processes and contribute to the continuous improvement of board operations.


Requirements


  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Proven experience in an Executive Assistant, Board Office, or similar senior-level coordination role.
  • Experience in board-level coordination or governance processes is a strong plus.
  • Exceptional organizational and time management skills, with the ability to manage multiple stakeholders and priorities.
  • High level of discretion and ability to handle confidential and sensitive information.
  • Strong written and verbal communication skills in both Turkish and English.
  • Detail-oriented, structured, and proactive working style.
  • Proficiency in MS Office tools (especially PowerPoint, Excel, and Outlook).
