Executive Assistant to the CEO

Via Medica International Healthcare is seeking an experienced Executive Assistant to join our team in Abu Dhabi.

The Executive Assistant will be responsible for managing a wide range of administrative and executive support duties while serving as the primary point of contact between the executive leadership and internal stakeholders. This role provides high-level support to the executive team to ensure company goals and objectives are achieved and daily operations run smoothly and efficiently.

Location: Abu Dhabi

Duty Hours: 48 Hours per week for 5 days

Essential Functions
  • Manages professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
  • Coordinates complex scheduling and extensive calendar management, as well as management of content and flow of information to CEO/senior executives.
  • Manages, coordinates, and arranges CEO/senior executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination.
  • Performs administrative and office support, such as typing, dictation, spreadsheet creation, sending emails, and maintenance of filingsystemand contactdatabase.
  • Prepare reports, correspondence, and presentations as required.
  • Facilitates approvals of documents by the CEO/senior management.
  • Maintains professionalism and strict confidentiality with all materials, and exercisediscretion when interfacing with the business.
  • Organizes team communications and plan events, both internally and offsite.
Qualifications / Requirements
  • Degree inBusinessor related field
  • 10-15 years of proven experience as an Executive Assistant or similar role
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Proficiency in MS Office and relevant administrative tools
  • Ability to multitask and work under pressure
  • Abilitytoanalyze situationsandtakeappropriate actionconsistentwithcompany policies.
  • Operates in a fair,consistentandequitablemanner, and displays such behavior by example.
  • Takes or organizes individual and collective action after analyzing situations based on the available evidence and knowledge.
