Executive Assistant to the CEO / School Administrator
Overview
We are a growing private, for-profit university specializing in healthcare education and are seeking a highly motivated, organized, and technology-driven Executive Assistant to support our CEO/School Administrator. This role requires exceptional organizational and communication skills, advanced computer proficiency, strong administrative experience, and the ability to work independently while maintaining the highest level of professionalism and confidentiality. Candidates with Information Technology (IT) skills, office management experience, and intermediate accounting knowledge are highly preferred.
Key Responsibilities
- Provide comprehensive administrative support to the CEO/School Administrator, including managing calendars, scheduling meetings, preparing correspondence, reports, presentations, and maintaining confidential records.
- Coordinate daily administrative operations and facilitate communication among university departments, faculty, students, vendors, and external partners to ensure efficient workflow.
- Assist with executive projects, institutional initiatives, accreditation activities, regulatory documentation, meetings, special events, and other administrative functions as assigned.
- Maintain organized digital and physical filing systems, prepare reports and spreadsheets, and ensure accurate data management and document control.
- Utilize Microsoft Office, Google Workspace, and other office technologies to improve productivity and support daily operations; assist with basic technology troubleshooting and coordinate with IT support as needed.
- Provide general office management support, including monitoring office supplies, coordinating vendors, processing routine invoices or expense documentation, and assisting with basic bookkeeping functions when needed.
- Exercise sound judgment, maintain strict confidentiality, and represent the executive office with professionalism in all interactions.
Qualifications
- Bachelor's degree required; Master's degree preferred in Business Administration, Healthcare Administration, Accounting, Information Technology, Office Management, Political Science, Education, or a related field.
- Minimum of 3 years of executive assistant, office management, administrative, or executive support experience; experience in higher education, healthcare, or a regulated environment is highly desirable.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace, and other office productivity software.
- Strong computer and technology skills with the ability to quickly learn new software and systems; Information Technology (IT) knowledge or experience is highly preferred.
- Intermediate accounting or bookkeeping knowledge, including familiarity with QuickBooks or similar accounting software, is preferred.
- Excellent organizational, analytical, and time-management skills with the ability to prioritize multiple projects and meet deadlines in a fast-paced environment.
- Outstanding written and verbal communication skills, with exceptional attention to detail, professionalism, and sound judgment.
- Demonstrated ability to maintain confidentiality, work independently, solve problems proactively, and manage sensitive information with discretion.
- Strong interpersonal skills with the ability to collaborate effectively with executive leadership, faculty, staff, students, and external partners.
- Bilingual or multilingual abilities are a plus.

Pay: $30.00 - $40.00 per hour
