Executive Assistant to the Chairman

Job Summary

The incumbent performs highly responsible administrative work at the direction of the Chairman, which includes planning, organizing a wide variety of tribal administrative functions and staff supervision. The Executive Assistant to the Chairman will coordinate meetings and projects with the different Tribal Department Directors; ensure meeting agendas and minutes are available; project progress reports timely; travel arrangements; meeting rooms are confirmed, and provides administrative support as requested.

Principle Duties and Responsibilities

  • May supervise staff to include: prioritize and assign work, conduct performance evaluations, ensure staff are trained, ensure employees follow policies and procedures, maintain a healthy and safe working environment, make hiring, termination, and disciplinary recommendations.
  • Conduct research studies and reviewing projects on a wide variety of tribal issues; prepare, submit oral and written reports, and recommendations.
  • Assist the Chairman in evaluating the Tribe's plans, policies, and objectives by performing research, review of materials, and assembly of information.
  • Assist with the management of the Chairman's calendar of appointments and compile the necessary background information for each appointment and accompany the Chairman to the appointment when necessary.
  • Respond to the Chairman's incoming telephone calls and perform necessary follow up.
  • Attend and represent the Chairman in meetings and events; as requested by the Chairman.
  • Serve as manager to the Tribal Administration Department; ensure efficient, professional customer service to tribal members, and the general public.
  • Conduct staff training, performance evaluation, and disciplinary action when needed.
  • May be requested to facilitate and participate committees for special projects.
  • Assist the Chairman in preparing presentations and documents on development plans; this may include infrastructure, economic, organizational, and policies.
  • Perform other duties of a similar nature or level as requested by supervisor or director.

  • Ordinances, codes, and policies governing Tribal operations;

  • English language, grammar, and punctuation;
  • Yaqui communities and local/regional affairs and issues;
Skills and Abilities:
  • Provide customer service;

  • Analyze, evaluate, interpret planning principles, and practices;
  • Develop and prepare a variety of business correspondence, records, reports, documents and forms;

  • Present information clearly and in an interesting manner, both verbally and in writing, for various audiences;
  • Identify and access resources for problem resolution;
  • Collect, interpret, evaluate narrative and statistical data;

  • Prepare and proofread a variety of reports and/or documentation;
  • Work independently;
  • Use discretion and judgment in dealing with confidential, sensitive, and controversial issues;
  • Operate a variety of office equipment, including a computer and related software applications;
  • Good communication and interpersonal skills as applied to interaction with co-workers, supervisor, management, Council members, and the public. Have ability to sufficiently exchange or convey information and receive verbal and written work instructions.

Education, Certifications and Experience Required

Bachelor's Degree in Public Administration, Communications, Political Science, Business Administration or related field; plus five (5) years of professional administrative and management experience, preferably in a tribal setting; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

  • Must possess and maintain a valid Arizona Driver's License;
