Summary :
The Executive Assistant to the Circuit Court Chief Judge is a regular, full-time, highly responsible and confidential administrative position, subject to the sufficient funding of the Judicial Branch by the Legislature. This position plays a critical role in supporting the administration of a unified, statewide trial court and requires a high degree of professionalism, discretion, adaptability, and sound judgment.
The Executive Assistant serves as the primary administrative support to the Chief Judge of the New Hampshire Circuit Court and works closely with Circuit Court administrative leadership daily. The Executive Assistant supports the Chief Judge in their responsibilities as administrative authority for judges and staff attorneys. This includes appointments and scheduling of judges, appointments to committees and commissions, service on the council of chief judges, and other duties related to Circuit Court judges and judicial officers. The work associated with this position requires consistent exercise of independent judgment, initiative, discretion, and adaptability in a fast-paced, multi-disciplinary court environment that is subject to frequent legislative, operational, and technological change. Work is performed independently, with general direction provided by the Chief Judge. Performance is reviewed for adherence to Judicial Branch policies, practices, and results achieved.
The Executive Assistant reports directly to the Circuit Court Chief Judge and has no supervisory responsibility.
An employee in this position may be required to travel during the regular course of business and is subject to transfer or reassignment at the discretion of the Chief Circuit Court Judge.
Minimum Qualifications
Education and Experience:
At least an associate degree from a college or university, with coursework in paralegal studies or judicial, public or business administration, and m inimum of five years’ experience as a paralegal, program manager, executive assistant, or secretary in a court or in a legal, business, or public-sector or public-interest environment; or a ny equivalent combination of education and experience that provides the knowledge, skills, and abilities for successful performance of the job duties.
Licenses or Certifications : Valid driver’s license.
Other Requirements : Successful completion of a background check, including a criminal records check.
Responsibilities:
Serves as Executive Assistant to the Circuit Court Chief Judge, providing high-level administrative, logistical, and confidential support in matters that may be sensitive, high-profile, and/or of significant impact to court operations and public trust.
Manages the Chief Judge’s calendar, scheduling, correspondence, and travel.
Coordinates the prioritization and tracking of competing demands; anticipates needs; identifies deadlines, conflicts, and time-sensitive matters; and proactively supports effective time and workload management.
Maintains regular, professional communication on behalf of the Chief Judge with judges, court administrators, clerks, Administrative Office of the Courts staff, and officials from the executive and legislative branches of government, exercising diplomacy, discretion, and sound judgment.
Organizes, plans, prioritizes, coordinates, and processes day-to-day administrative tasks, including scheduling meetings, preparing materials, processing paperwork, tracking deadlines, and maintaining electronic and physical files.
Prepares draft correspondence, memoranda, administrative orders, reports, agendas, and other written materials for review and approval by the Chief Judge.
Organizes, attends, and supports administrative meetings, judicial meetings, and hearings as requested; prepares notices and agendas; takes minutes; prepares summaries or reports of proceedings; and establishes and maintains related files.
Coordinates and assists with statewide Circuit Court initiatives, projects, and committees at the direction of the Chief Judge, including initiatives involving District, Family, and Probate Division operations, policy implementation, and cross-division coordination.
Works collaboratively with Circuit Court leadership to support judicial assignments, scheduling initiatives, policy implementation, and operational improvements across a statewide and locally delivered court system.
Maintains Circuit Court administrative records and schedules; creates and organizes electronic and hard-copy files; and purges administrative files as necessary and in accordance with Judicial Branch records retention policies.
Assists with the preparation of judicial education, training materials, and briefing documents related to Circuit Court operations, initiatives, legislative changes, and policy updates.
Serves as a liaison between the Chief Judge’s office and internal Judicial Branch stakeholders to promote consistent communication, coordination, and implementation of Circuit Court priorities.
Supports special projects and emerging initiatives related to access to justice, service delivery, efficiency, innovation, and change management within the Circuit Court.
