Executive Assistant to the COO

Job description:

Jay Franco & Sons is a home textiles company founded in 1942. Based in New York, the company designs, manufactures, and distributes licensed home textile products for major retailers worldwide, with a strong focus on quality, innovation, and long-standing brand partnerships.

Role Overview:

We are seeking a highly capable, forward-thinking Executive Assistant to support the COO of a fast-paced, high-volume manufacturing organization. This is a hands-on, strategic support role for someone who anticipates needs, solves problems before they arise, and thrives in a dynamic, deadline-driven environment.

The Executive Assistant will act as a trusted partner to the COO, supporting executive, operational, administrative, and personal responsibilities while working closely with senior leadership and cross-functional teams including Operations, Sales, HR, Finance, and international partners.

This role requires exceptional organization, sound judgment, discretion, and the ability to manage complexity without constant direction.

Core Responsibilities:

Executive & Business Support

  • Own and manage the COO’s professional calendar, priorities, and scheduling, ensuring optimal time management and proactive planning
  • Coordinate domestic and international travel (flights, hotels, ground transportation, EZ-Pass, logistics)
  • Draft, manage, and respond to internal and external communications on behalf of the COO
  • Track and submit expenses in coordination with HR and Finance
  • Prepare, distribute, and validate monthly sales reports (Walmart US, Walmart Canada, Target)
  • Support office operations, vendor coordination, and HR-related initiatives
  • Assist with trade shows, offsite meetings, and international business events

Personal Assistant Support

  • Manage the COO’s personal calendar and scheduling
  • Coordinate school, camp, and extracurricular registrations and provide support for family events and logistics
  • Schedule, coordinate, and manage medical appointments, related accounts, and insurance matters
  • Handle government documentation renewals and applications
  • Coordinate insurance matters

Qualifications & Experience:

  • 2-4 years of experience as an Executive Assistant, Senior Administrative Assistant, or Operations Coordinator
  • Proven experience supporting executives in fast-paced environments
  • Exceptional organizational skills, attention to detail, and follow-through
  • Strong ability to prioritize, anticipate needs, and manage multiple workstreams simultaneously
  • High level of professionalism, discretion, and confidentiality
  • Excellent written and verbal communication skills
  • Comfortable working cross-functionally and with international teams
