We are a reputable and growing animal healthcare company engaged in the sales and distribution of veterinary medicines and related products across Oman. The Director is a practicing Veterinary Doctor and active business partner overseeing strategic, operational, and regulatory functions of the company.
Position Overview
We are seeking a highly professional and organized Executive Assistant to provide direct support to the Director in both clinical and business capacities. The ideal candidate must demonstrate strong command of English, exceptional communication skills, discretion, and the ability to manage multiple responsibilities in a fast-paced environment.
This role requires maturity, professionalism, and the ability to represent the Director and the company with confidence and integrity.
Key Responsibilities
- Manage the Director’s calendar, meetings, travel arrangements, and appointments
- Coordinate with suppliers, clients, regulatory authorities, and internal teams
- Prepare reports, presentations, correspondence, and official documentation
- Draft professional emails and maintain structured communication records
- Support coordination between veterinary clinic operations and distribution business
- Maintain organized records of contracts, licenses, and compliance documents
- Follow up on pending approvals, payments, and business commitments
- Assist in inventory and order coordination when required
- Handle confidential business and financial information with discretion
- Ensure smooth daily administrative operations and executive workflow
Requirements
- Bachelor’s degree in Business Administration, Management, or related field
- Minimum 3–5 years of experience in executive support or senior administrative roles
- Excellent written and spoken English (mandatory)
- Strong communication and interpersonal skills
- High level of professionalism and presentation
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to draft structured reports and formal business communication
- Strong organizational and time-management skills
- Ability to multitask and prioritize effectively
- High level of integrity and confidentiality
Preferred Qualifications
- Experience in healthcare, pharmaceutical, or regulated industries
- Familiarity with inventory or distribution operations
- Arabic language skills (advantage)
- Experience working directly with senior management or directors
