This position has a budgeted hiring rate of $51,000. The position is classified as an A3. The A3 salary band for all full-time, 12-month positions at the college with this classification have a minimum rate of $43,500 and a maximum rate of $70,312. For benefit purposes only, the workweek is estimated to be 35 hours per week. The actual schedule for exempt positions may vary based on the workload and responsibilities assigned.

Job Description:

Reporting to the Executive Vice President for Constituent Engagement, the Executive Assistant serves as a high-functioning partner to the EVP of Constituent Engagement, ensuring the enrollment management and marketing division operates with precision, organization, and follow-through. This role combines executive support with operational coordination, helping to create a highly organized and responsive division. The role requires strong technical skills, exceptional attention to detail, and the ability to proactively anticipate needs and maintain accountability across teams in a professional, warm and approachable manner.

Responsibilities include but are not limited to:

  • Managing a complex and forward-looking calendar for the EVP and ensuring alignment with priorities and adequate preparation time
  • Serve as a primary point of contact for the EVP's office (calls, inquiries, and visitors), responding independently when appropriate and routing items with context and urgency
  • Coordinates division-level activity, and ensuring that meetings, communications, and projects translate into action.
  • Track key priorities, strategic tactics, deadlines, and deliverables across the EVP's direct reports
  • Provide proactive, professional follow-up to ensure projects remain on track
  • Support coordination of division-wide initiatives and communications
  • Coordinate with other divisional administrative assistants to ensure alignment within the division.
  • Ensure meetings have clear agendas, supporting materials, summaries and documented follow-up actions which are distributed promptly
  • Maintain highly organized digital and file management systems
  • Lead the development and upkeep of the division's Microsoft Teams environment, including resources and SOPs
  • Produce polished documents, presentations, and reports
  • Support website updates and learn new systems (e.g., Slate, Qualtrics) as needed


Requirements:

  • Bachelor's degree required; may substitute with four or more years of related experience
  • Two to four years of office experience
  • Demonstrated knowledge of Microsoft Word Office suite, including Excel and Powerpoint
  • Strong organizational skills
  • Professional knowledge and ability to operate computer, copier, scanner and other office equipment
  • Ability to handle phone calls in a friendly and professional manner
  • Must exhibit excellent communication and interpersonal skills with a variety of stakeholders
  • Strong organizational skills
