Position Overview
We are seeking an Executive Assistant to the General Manager who can support the General Manager at a critical time with a company that has a historically-validated strong growth trajectory. It is critical that the person in this role can multi-task effectively, is well-versed in a variety of business skills, proficient at shifting priorities in the moment as needed based on new information, is detail-oriented, and able to communicate politely and efficiently with a variety of stakeholders.
Responsibilities
- Manage GM’s calendar and emails to allow him to focus on the highest level priorities; this would include handling walk-ins, coordinating with operations and dispatch, and assisting with interviews.
- Anticipate needs and be proactive for prepping the GM prior to meetings, drafting high-stake correspondence, and getting through to or establishing communication with others as needed (internally and externally).
- Ability to thrive in an environment with various moving parts and coordinate between internal and external stakeholders and among cross-functional teams including but not limited to vendors, subcontractors, General Contractors, attorneys, accountants, and property managers.
- Systems-minded thinker with high level organizational skills who can own recurring processes, weekly reporting, project trackers, bid logs, permit checklists, hiring funnels, and more.
- Able to sit in on meetings in place of the GM and report back to the GM concise summaries, potential action items, and areas of opportunity or concern for the company.
Optional Opportunity
- Willingness to handle life administration for the General Manager such as travel coordination, personal bills, renewals, and scheduling would be appreciated.
Required Qualifications
- Degree in Business Administration, Communications, Leadership & Management, or similar required.
- Applicants with exceptional experience and proven skills would be considered.
- 1+ year(s) of experience as an executive assistant or similar role.
- Strong organizational, communication, and time-management skills.
- Ability to manage multiple projects simultaneously.
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
Preferred Qualifications
- Experience with a mid-size/large-size company ($10MIL+ annual revenue) preferred.
- Background in HVAC, the trades, or construction a plus.
- Legal contract drafting, review, negotiation, and management would be nice.
- CAP, PACE, and/or ACEA certifications preferred.
- Master’s degree a plus.
Travel & Work Environment
- Based out of our Grafton, WI office.
- Supports projects in the Milwaukee, Madison, and Green Bay metro areas.
- May require visits to active construction sites from time to time.
