Position Summary
The Executive Assistant to the President provides dedicated, high-level support across both professional and personal priorities. This role serves as a trusted right hand, helping to manage day-to-day responsibilities, streamline logistics, and ensure the President’s time, commitments, and obligations are handled efficiently.
The ideal candidate is proactive, highly organized, adaptable, and able to anticipate needs before they arise. This role requires a high level of discretion, flexibility, and the ability to seamlessly manage a blend of business and personal tasks in a fast-paced environment.
Key Responsibilities
Executive & Personal Support
  • Serve as a trusted point of contact for the President, managing communications, requests, and day-to-day needs with professionalism and discretion.
  • Manage and maintain the President’s calendar across both business and personal commitments, ensuring priorities are aligned and time is optimized.
  • Coordinate and oversee personal appointments and reservations as needed.
  • Anticipate needs and proactively handle tasks to streamline daily routines and reduce administrative burden.
Travel & Logistics
  • Coordinate all domestic and international travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
Administrative & Organizational Support
  • Draft and manage emails, correspondence, and communications on behalf of the President.
  • Organize and maintain files, records, and important documents (both professional and personal).
  • Track and submit expense reports, receipts, and reimbursements in coordination with Accounting.
Events & Coordination
  • Plan, coordinate, and manage company participation in industry-specific tradeshows, conferences, and speaking engagements (domestic and international).
  • Handle all event logistics, including scheduling, venue coordination, service provider liaison, travel arrangements, and materials management.
  • Create and manage tradeshow budgets, tracking expenses, and ensuring alignment with departmental requirements.
  • Serve as the primary point of contact for all events, ensuring smooth execution and timely delivery of materials.
Qualifications
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills.
  • High level of discretion and ability to handle sensitive and confidential information.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to adapt to changing priorities and maintain flexibility in a dynamic environment.
  • Dependable, detail-oriented, and resourceful.
  • College degree preferred.
  • Ability and willingness to travel domestically and internationally spanning weekdays/weekends at times (25-30%).
  • Must be a U.S. citizen.
