Job Summary
The Executive Assistant serves as a trusted and strategic partner to Process Home’s Owner & Principal, providing high‑level administrative, operational, and organizational support in a dynamic, design‑led environment. This position exists at the intersection of design, business, and lifestyle. The principal is a creative operator - a designer, fabricator, brand builder, and entrepreneur - who runs multiple businesses simultaneously and lives and works at a level where every detail carries meaning.
This role demands exceptional discretion, sound judgment, and a rigorous attention to detail, coupled with the ability to anticipate needs and manage complex, shifting priorities. The successful candidate will demonstrate professionalism, composure, and resilience, operating with confidence amid ambiguity and evolving business demands. Excellence in this role requires precision, proactive problem‑solving, and the capacity to impose structure, clarity, and consistency on work that is inherently fluid.
Employee Responsibilities
- Schedule & Meeting Management: Maintain full ownership of the principal’s highly complex calendar across professional, personal, family, and travel commitments, ensuring priorities are aligned, conflicts are resolved proactively, and daily plans are clearly communicated. Serve as the primary point of contact for all individuals and organizations within the principal’s orbit, representing the relationship with discretion, professionalism, and sound judgment. Anticipate needs well in advance and operate proactively to manage travel arrangements, logistics, and lifestyle support, including household coordination, personal vendors, family appointments, and related matters, with seamless execution and minimal oversight.
- Client & Vendor Relations: Manage relationships with fabric houses, workrooms, showrooms, installers, and trade vendors with the same care and professionalism as client relationships. Coordinate client communications on project status, scheduling, and deliveries — always warm, always polished, always on brand. Represent the studio externally in a way that reflects and protects the principal's reputation
- Travel Coordination: Travel with or arrange travel for the principal as needed. Manage travel itineraries, accommodations, ground transportation and logistics
- Media, Brand & Creative Support: Support the principal's social media presence — coordinating content logistics, managing assets, and helping maintain a consistent and elevated brand voice across platforms. Assist with brand-related correspondence, partnerships, and creative initiatives as they arise. Understand that image and presentation matter in this world — every touchpoint, online and off, is an extension of the brand
- Business Operations Support: Maintain working knowledge of all active projects, legal matters, vendor relationships, and financial obligations across all business entities. Draft and send correspondence on behalf of the principal to various stakeholders with full voice accuracy and zero margin for error. Liaise with external attorneys, accountants, and consultants; prepare briefings, track deadlines, and ensure timely follow-through on all action items. Serve as the connective tissue between the principal and the studio team, translating vision into execution, and ensuring the team has what they need to deliver. Oversee completion of tasks like new hire onboarding, training, and system onboarding, and maintain and organize confidential files and records securely.
- Billing, Expense & Financial Support: Process and track expense reports, invoices, and purchase orders; ensure accurate financial reconciliation. Coordinate payroll documentation and administrative needs across entities. Manage active client projects in Studio Designer (setup, tracking, purchase orders, and documentation). Support billing cycles: proposals, invoices, and client-facing financial communications. Coordinate with vendors on order status, lead times, confirmations, and delivery logistics. Maintain impeccable project records so nothing is ever lost, delayed, or missed.
