OVERVIEW


The Executive Assistant to the Superintendent’s Office serves as a strategic administrative partner and a key member of the district’s central office team. This role provides high-level administrative, communications and organizational support to the Superintendent of Schools and the Assistant Superintendent for Teaching & Learning. Serving also as the School Committee Assistant, this individual plays a critical role in district governance, transparency, and public record-keeping.


The ideal candidate is a proactive, "forward-thinking" professional who can anticipate leadership needs, manage complex workflows and act as a polished liaison between the district and the North Andover community. This position requires exceptional discretion, technological fluency and the ability to remain calm and professional under the pressure of a fast-paced public environment.


KEY RESPONSIBILITIES


Executive Support & Leadership Liaison

  • Provide high-level administrative support to the Superintendent and Assistant Superintendent, acting as a "gatekeeper" and prioritizing time-sensitive issues.
  • Anticipatory Planning: Manage complex, fluid calendars and anticipate the needs of leadership regarding meeting preparation, briefings, and travel.
  • Serve as a professional first point of contact for internal and external stakeholders, triaging inquiries from parents, staff, and residents with warmth and accuracy.

Governance & School Committee Operations

  • School Committee Assistant: Coordinate all aspects of School Committee meetings, including the preparation and digital distribution of agendas and packets.
  • Legal Compliance: Ensure all meetings are posted, recorded, and archived in strict accordance with the Massachusetts Open Meeting Law and public records requirements.
  • Evening Attendance: Attend evening School Committee meetings (typically twice monthly) to record official minutes and provide on-site administrative support.
  • Maintain and update the district’s official Policy Manual and public-facing governance portals.

Communications & Digital Presence

  • Draft, edit, and format professional correspondence, district-wide newsletters, and the District’s Annual Report.
  • Visual Storytelling: Create high-quality slide decks, graphics, and presentation materials using Canva, Google Slides, and Microsoft PowerPoint.
  • Digital Management: Manage and update the District website (Leadership and School Committee pages) and assist with social media content to ensure consistent community engagement.

Operations, Grants & Procurement

  • Support DESE grant processes, including GEMS (Grant Electronic Management System) applications, documentation, and reporting.
  • Support purchasing and procurement processes in accordance with Massachusetts public procurement laws (M.G.L. c. 30B) and district procedures.
  • Utilize district-specific software (e.g., PowerSchool/Infinite Campus or Munis) for data entry, reporting, and tracking.
  • Maintain highly organized digital and physical filing systems, ensuring institutional memory and ease of access for audits.

QUALIFICATIONS

  • Education: High school diploma required; associate’s or bachelor’s degree in Communications, Business, or a related field preferred.
  • Experience: Minimum of 3–5 years of senior-level administrative or executive support experience; experience in a public school district or municipal environment is highly desirable.
  • Communication: Exceptional written and verbal communication skills with an eye for detail and professional formatting.
  • Technical Skills: Advanced proficiency in Google Workspace and Microsoft Office; experience with Canva or similar graphic design tools.
  • Discretion: Demonstrated ability to handle sensitive, confidential personnel and legal matters with absolute integrity.
  • Regulatory Knowledge: Familiarity with Massachusetts Open Meeting Law and Public Records Law; MCPPO (Massachusetts Certified Public Purchasing Official) designation or training is a plus.
  • Adaptability: Ability to "look around corners"—anticipating needs before they arise and managing multiple high-priority projects simultaneously.
