EXECUTIVE ASSISTANT
WEST VIRGINIA JOBS INVESTMENT TRUST
KANAWHA COUNTY
SALARY: $35,000 - $55,000
The West Virginia Jobs Investment Trust is seeking an organized, reliable, professional with experience in administrative tasks and office management. Responsibilities include, but are not limited to:
Typing, clerical, and general office duties for staff as needed.
Receive telephone calls, greet visitors, answer routine inquiries, and route technical inquiries to proper staff.
Track and pay invoices using PCard and WVOASIS, ensuring they are paid in a timely manner.
Assist with assembly of the monthly WVJIT board meeting packages.
Act as recording secretary for all WVJIT board meetings and prepare all WVJIT board meeting minutes.
Assist with assembly of the monthly WVCAP Committee meetings.
Act as recording secretary for all WVCAP Committee meetings and prepare all WVCAP Committee meeting minutes.
Assist the WVEDA with board package assembly, meeting minutes, and coverage of the front desk as needed.
Process travel reimbursements for WVJIT staff.
Reconcile WVJIT PCards monthly.
Order office supplies and perform general office duties as required.
Assist the Executive Director and other WVJIT as necessary, and perform other duties as assigned.
Skills and abilities:
Knowledge of Google and Microsoft suites.
Ability to quickly learn and adopt new software and technologies.
Ability to self-manage a variety of ongoing projects with varying deadlines.
Ability to draft professional correspondence, communicate effectively with superiors, other
personnel, and the general public.
Knowledge of division rules, regulations, and procedures.
Ability to write and maintain detailed records.
Ability to retrieve and compile information from multiple sources to complete assignments.
Ability to perform basic mathematical operations.
Ability to type and operate a variety of office machines.
Training: Graduation from a standard four-year high school or the equivalent. Associate or Bachelor’s Degree from an accredited college or university preferred.
Experience: Six years of full-time or equivalent part-time paid experience in secretarial work; two years must have included administrative support or complex clerical duties. Full-time study in an accredited college or university may be considered a substitution for experience.
