Executive Assistant/Office Manager

Job Overview
We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. This vital role combines comprehensive administrative support with efficient office management, ensuring the smooth operation of daily activities and strategic initiatives. The ideal candidate will be proactive, detail-oriented, and possess a passion for creating an organized, welcoming, and productive work environment.

Responsibilities

  • Provide office support to the President, Treasurer and Directors
  • Email Board Meeting Reminders and make copies as needed
  • Compile Deposit Reports
  • Go to the Bank to make Deposits
  • Go to the P.O. to pick up mail as needed
  • Compile RSVP lists and name badges for Guild events and luncheons
  • Update and compile documents necessary for annual membership renewal
  • Process membership renewals and new member paperwork-maintain databases
  • Prepare renewal mass mailing in May and follow up with members who have not yet renewed
  • Answer Guild phone as needed
  • Work with the Greensboro Symphony Orchestra to confirm that members have fulfilled their orchestra requirements
  • Prepare invitations and mailings as needed
  • Process Undesignated and Endowment donations and send out thank you notes as needed
  • Assist Annual Education Campaign chair as needed with donation information
  • Prepare Award certificates three times a year
  • Prepare and submit monthly membership and new member reports
  • Submit Gift and New Member information to monthly Guild newsletter each month
  • Update the Directory as needed during the year
  • Prepare Directory mailing each Fall
  • Compile and submit Playbill pages each Fall
  • ·Maintain Password document for various platforms
  • Update SignUp Genius and MailChimp as needed

Skills

  • · Desires to work remotely as a part-time, contracted employee.
  • Must be able to work agreed upon, weekday office hours from home, with some flexibility in their daily schedule, if needed. Available to work a minimum of 52 hours/month. Additional hours must be approved by the president.
  • Proven experience in office management or executive administrative support with a strong background in clerical duties.
  • Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and data entry systems.
  • Skilled in event planning, project coordination, bookkeeping (QuickBooks), and general office operations.
  • Strong communication skills—both verbal and written—with a focus on professionalism and clarity in all interactions.

Pay: $1,040.00 per month

Work Location: Hybrid remote in Greensboro, NC
