Overview
We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. Responsibilities
- Help plan and manage MPB marketing components - including promotional items, conference planning, events and social media.
- Oversee office operations, including supply management, filing systems, front desk duties, and maintaining a professional environment.
- Coordinate events such as team meetings, client visits, and company functions through detailed planning and organization.
- Handle correspondence via email, phone calls, and written communication with professionalism and courtesy, utilizing multi-line phone systems and phone etiquette best practices.
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial recordkeeping.
- Support personal assistant duties for executives such as travel arrangements, personal scheduling, and confidential information handling with discretion.
Requirements
- Proven experience in office management or administrative roles with a strong background in executive administrative support.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tasks.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Strong communication skills with professional phone etiquette and customer service experience.
- Experience with bookkeeping software like QuickBooks and familiarity with basic bookkeeping principles.
- Ability to perform clerical tasks such as filing, proofreading documents, transcription, and managing office supplies.
- Prior experience as a personal assistant or in office experience roles is highly desirable.
- Knowledge of office equipment including multi-line phone systems and office technology tools like DocuSign for digital signatures.
- High level of computer literacy combined with organizational skills to streamline workflows effectively.
