Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities efficiently. Experience as a paralegal will be helpful to this role.
Duties
- Manage and coordinate complex calendars using Microsoft Outlook Calendar and Google Workspace, including scheduling meetings, appointments, and travel arrangements
- Prepare, proofread, and transcribe documents, reports, and correspondence with high accuracy
- Handle phone etiquette with clients, vendors, and internal teams via multi-line phone systems and front desk responsibilities
- Assist with event planning for company functions and meetings, ensuring all logistics are handled smoothly
- Maintain organized filing systems both physically and electronically, including data entry and document management using DocuSign
- Support bookkeeping tasks such as invoicing and basic QuickBooks data entry
- Provide executive administrative support including managing emails, preparing presentations, and conducting research as needed
- Coordinate projects across departments to ensure timely completion of tasks
- Perform clerical duties such as photocopying, faxing, and maintaining office supplies
Qualifications
- Proven experience as an Office Manager, Personal Assistant, or Executive Assistant with strong administrative background
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills with attention to detail for proofreading and transcription tasks
- Experience in event planning, project coordination, bookkeeping (QuickBooks), and office management preferred
- Exceptional phone etiquette and customer service skills for front desk operations
- Ability to handle multiple responsibilities simultaneously in a fast-paced environment
- Demonstrated computer literacy with familiarity in data entry systems and multi-line phone systems
- Previous experience in healthcare, particularly knowledge of healthcare human resources is preferred.

Pay: $55,000.00 - $85,000.00 per year
