The Executive Business Partner serves as an embedded execution partner to an Executive, translating executive conversations into immediate action, protecting strategic focus, and increasing decision velocity across the organization.


This role blends strategic calendar ownership, in-room execution, cross-functional coordination, and executive office management. The position is designed to remove operational friction from the Executive’s plate while ensuring initiatives, meetings, and commitments move forward with clarity and speed.


This individual operates with discretion, judgment, and contextual awareness, enabling the Executive to focus on leadership, alignment, and high-impact decisions.


Core Responsibilities

Executive Time Strategy & Calendar Ownership

  • Own and strategically manage the Executive’s calendar in alignment with organizational priorities
  • Evaluate meeting requests and recommend acceptance, delegation, or deferral
  • Protect focused work blocks and priority windows
  • Ensure all meetings have clear purpose, agenda, and expected outcomes
  • Coordinate all travel, lodging, dining, and logistical arrangements
  • Prepare daily and weekly briefings to ensure executive readiness

In-Room Execution & Follow-Through

  • Attend key executive meetings to capture decisions, commitments, and next steps
  • Translate conversations into structured action items in real time
  • Execute appropriate follow-up tasks directly when possible
  • Route larger initiatives to responsible leaders with clarity and accountability
  • Track executive commitments and ensure timely completion
  • Draft post-meeting summaries and recommended next steps on behalf of the Executive

Decision Support & Discretion

  • Provide recommendations on routine matters where executive intent is clear
  • Evaluate incoming requests and offer suggested responses
  • Proceed independently when actions align with established priorities, existing budgets, and precedent
  • Elevate matters appropriately when policy, reputation, or significant financial impact is involved
  • Prepare decision briefs, background memos, and summary notes to support executive review and decision-making

Project & Initiative Coordination

  • Maintain an executive initiative tracker for Executive-sponsored projects
  • Drive cross-functional follow-through on executive-directed priorities
  • Identify bottlenecks and proactively recommend solutions
  • Prepare memos, briefing documents, reports, and presentation materials for executive use
  • Proactively gather information and coordinate with internal stakeholders to ensure the Executive is prepared for meetings and decisions
  • Support preparation for key discussions by synthesizing information, identifying open questions, and organizing relevant materials
  • Aid in advancing next steps following meetings by coordinating with teams and stakeholders on behalf of the Executive

Office of the Executive Stewardship

  • Manage the Office of the Executive budget, events, and discretionary expenses
  • Maintain documentation integrity across systems (Asana, contracts repository, executive notes)
  • Support planning and execution of executive leadership gatherings and small-scale events
  • Represent the Office of the Executive with professionalism and discretion


Qualifications

  • Bachelor’s degree preferred
  • 5+ years supporting senior executives or leading cross-functional coordination
  • Demonstrated ability to operate with discretion and independent judgment
  • Strong written and verbal communication skills
  • Proficiency in project management platforms and presentation tools
  • Exceptional organizational and prioritization skills
  • High emotional intelligence and professional presence

This role may be titled Executive Business Partner or Senior Executive Business Partnered based on the competencies and experiences of the candidate.
