Executive Business Partner / Executive Assistant

Overview

Position Title: Executive Business Partner / Executive Assistant

Location: Aberdeen, MD; 100% Onsite

Reports To: CEO/CTO/COO

Job Type: Full-time

Clearance Requirement: Secret (able to process, US citizenship is a must)

Summary:

We aren't looking for a traditional "assistant." We are looking for a high-leverage Executive Business Partner who serves as the force multiplier for our C-suite. Your role is to bridge the gap between vision and execution, ensuring that our leadership team stays focused on high-value growth while you manage the friction of corporate operations. You will be the primary gatekeeper, a strategic fixer, and the "connective tissue" that ensures corporate opportunities move from conversation to completion.

In this position, you aren't just "helping"—you are optimizing. By removing administrative friction and smoothing the path for corporate opportunities, you directly impact the company's bottom line and the speed at which we can scale.

We value "low ego, high impact" individuals. If you enjoy being the behind-the-scenes architect of a successful executive team, we want to hear from you.

Our ideal candidate has demonstratable experience supporting executives within DOD government contracting firms.

Key Responsibilities:

  • Strategic C-Suite Integration
    • Gatekeeping with Grace: Manage complex calendars, but do so with an understanding of business priorities—knowing when to block out "deep work" time and when to squeeze in a high-stakes investor call.
    • Shadow Leadership: Attend key meetings, capture high-level action items, and proactively follow up with department heads to ensure momentum doesn't stall.
    • Briefings & Synthesis: Prepare the executive team for the day ahead by synthesizing long reports into concise "cheat sheets" and ensuring they have all necessary context before stepping into the room.
  • Opportunity Smoothing & Business Development Support
    • Corporate Diplomacy: Act as the first point of contact for external partners, board members, and potential acquisitions. You are the "face" of the executive office.
    • Project Orchestration: Lead special projects—such as organizing board retreats, managing the administrative side of a fundraise, or coordinating high-profile speaking engagements.
    • Information Flow: Identify bottlenecks in the organization and streamline communication between the C-suite and the rest of the company to keep the "corporate engine" running hot.
  • Operational Excellence
    • Resource Management: Manage executive expenses, travel logistics (often complex and international), and sensitive corporate documentation with absolute discretion.
    • Tech Stack Optimization: Utilize and implement tools (AI, CRM, Project Management software) to automate routine tasks and increase the office's overall efficiency.

Qualifications

Education:

  • Bachelors degree preferred.

Experience:

  • 7+ years supporting C-level executives, ideally in a fast-paced or high-growth environment.
  • 5+ years within government contracting.

Skills:

  • Unshakeable under pressure. You don't just find problems; you bring three potential solutions.
  • You have a "sixth sense" for urgency and confidentiality. You know what needs a signature now and what can wait until tomorrow.
  • Exceptional written and verbal skills.
  • Mastery of G-Suite/Microsoft 365 and modern productivity tools (Slack, Notion, Asana).

Physical Requirements:

  • Ability to travel as required.
  • Standard office environment with occasional requirements to visit client sites, labs, or field environments.
