Executive Concierge [FT/hybrid; longevity wellness clinic; support for exec members]

Position Overview

Humanaut is seeking a highly organized and detail-oriented Executive Concierge to support our executive longevity program. This role ensures that our premier-level membership experience is executed with precision and consistency, and protects provider time from administrative and logistical burden.

This role is both client-facing and operational in nature. This position focuses on execution, logistics, coordination/scheduling, and ensures that operational details run smoothly across every member interaction.

This role offers exposure to cutting-edge longevity medicine, advanced diagnostics, and health optimization programs. Experience in functional medicine or health optimization is a bonus, but can be taught.

Primary Responsibilities

Core ResponsibilitiesDay-to-Day Member Coordination

  • Serve as a key point of contact for ongoing communication
  • Coordinate with members, executive assistants, and internal teams
  • Triage inbound requests quickly and accurately

Scheduling and Calendar Management

  • Own all scheduling execution across consults, treatments, labs, and follow-ups
  • Manage complex calendars and constraints
  • Prevent conflicts and ensure smooth flow

Labs and Diagnostics Coordination

  • Coordinate all lab and diagnostic logistics, including phlebotomy scheduling and follow-up
  • Work closely with the phlebotomist, who provides support on lab execution and tracking
  • Manage support staff to ensure labs are completed, results are received, and nothing is missed
  • Follow up on delays, redraws, or missing items
  • Ensure readiness ahead of visits

Clinical Readiness and Prep

  • Ensure every visit is fully prepared
  • Confirm documentation, labs, and inputs are complete
  • Flag gaps proactively before they impact the member experience
  • Makes sure that any tasks coming out of consultations are logged into task management

Execution of Member Experience

  • Support hospitality execution, including logistics, gifting, and travel coordination when needed
  • Carry out the experience vision set by the Executive Success Manager

Internal Coordination

  • Communicate across clinical, coaching, and ops teams
  • As the main communication node with the ops lead, responsible for triaging to rest of team
  • Ensure alignment and timely execution across all touchpoints

Qualifications

  • 5+ years experience as an executive assistant, concierge services, or executive client management.
  • Experience working with high-net-worth individuals
  • Experience managing unique schedules, executive assistants, and high-demand personalities
  • Ability to work through complex needs calmly and confidently
  • Exceptional communication skills
  • Adept with technology
  • High emotional intelligence and discretion

Job Type: Full-time

Pay: $60,000.00 - $70,000.00 per year
