DUTIES AND RESPONSIBILITIES:
- Welcome guests and greet them cheerfully, offer them seats
- Knowledge of basic medical terminologies, test and procedures
- Having thorough knowledge on all the services available in the hospital
- Ability to handle multiple tasks and be accountable for responsibilities
- To check OP file is complete with proper registration and zero error in filling the self declaration form
- Ensures no patient goes unattended. It is the FOs responsibility to treat each patient as the guests of the hospital
- Ensures that no patient is made to wait for a long time and in case of emergency if it is delayed patients should be informed of the same.
- Answering the telephone calls in a professional and courteous manner within minimum rings.
- Provide information to the customers, as per their requests and resolve their queries and issues in coordination with other departments
- Perform data entry operations of updating the Chairman’s appointment and inform the patient to confirm their consultation
- Transfer the received calls to the concerned departments in case of specific enquiries
- Respond in a calm and professional manner to emergency situations
- Maintain Front Office Register and answer queries of patients about meeting times of surgeons and expert consultants.
- Answer all queries of the patients/ attenders clearly.
- Train the new employees about guest relations.
- Explaining patients about the prescription, nutritional needs and follow ups.
- To respect and maintain privacy and dignity of clients, assure client confidentiality at all times.
- Should always be in position as insisted by the Chairman
- Should be courteous, polite and helpful to the public and clients at all time and thus manage the crowd in the hospital.
- Liaising with patients, general practitioners, health care professionals, and patient’s family members in a compassionate and kind manner.
- Receiving and conveying messages in writing, electronically and verbally.
- Contributing equitably in the maintenance of cleanliness of the medical practice.
DOCUMENTATION:-
Strictly follows the hospital rules, regulations and policies
- Strictly avoid wastage of your stationery items in the unit.
- All files and registers are to be maintained on daily basis
- Ensures proper maintenance of Department Reporting Register
ATTENDANCE AND GROOMING:-
- Punctuality should be maintained
- Leaves should be informed in advance
- Uniforms should be clean and tidy
- Follows proper grooming standards as framed by the Management
- Wears ID card while on duty
COMMUNICATION:-
· Proper handing over should be given to the next shift colleague
· Clear and comprehensive in transferring and sharing the information (written & oral) about appointments to Doctors and Colleagues
· Maintains good interpersonal relationship with patients, their relatives and colleagues
SAFETY PRECAUTIONS:-
- Creates safe environment in the department
- Strictly follow safety procedures of the hospital
- Inform any breakage or damage caused to the properties of the hospital
TRAINING AND EDUCATION:-
Keeping up to date knowledge with new medical terminologies
- Participate in various training programmes (both internal and external) to enhance knowledge
- Implement the training received at work
- Assist or train the colleagues and juniors in the department
- Gives orientation to patient and relatives about services, facilities, policy rules and regulations of the hospital and Patients Rights and Responsibilities.
OTHERS:-
- Ensures proper handing and taking over of duty from colleagues
- Report any losses and breakage in the unit without fail.
- You should present in the allocated work area. If you move from your work area you need to write in the movement register kept in your department
- Executing job rotation in lean period
- Other function as per the orders of the Department In-Charge and by the Management.
