An opportunity has arisen for an Executive – Inventory, Contracts & Compliance to join Dubai Holding Real Estate .


Job Purpose :


The job holder is responsible for maintaining the accuracy, integrity, and availability of the real estate inventory database while supporting the end-to-end contract lifecycle. The role ensures that unit availability, pricing, and status are correctly reflected across systems, and that all contractual documentation complies with company policies, regulatory requirements, and service-level timelines.


Key Accountabilities :


1. Inventory Management (Primary Responsibility – ~60%)

  • Maintain accurate and real-time updates of unit availability, status changes, holds, releases, cancellations, and transfers in Salesforce or relevant CRM.
  • Coordinate with Sales, Pricing, and Finance teams to validate inventory data, unit eligibility, and commercial terms.
  • Prepare and maintain daily/weekly inventory reports, dashboards, and forecasting tools using Power BI and advanced Excel .
  • Monitor allocation requests, unit swaps, and special approvals ensuring alignment with DOA and internal guidelines.
  • Identify discrepancies between actual inventory status and system records; resolve issues proactively.
  • Support unit pricing exercises, launches, and inventory setup for new projects.
  • Provide management with visibility on inventory performance, absorption, and sales trends.


2. Contracts & Documentation Management (Secondary Responsibility – ~30%)

  • Prepare SPAs (Sales & Purchase Agreements), Booking Forms, and customer files with 100% accuracy and within the agreed turnaround time.
  • Conduct compliance checks on sales transactions, approvals, and exceptions in line with DOA and company policies.
  • Upload, track, and archive contracts and supporting documents in Salesforce and internal filing systems.
  • Coordinate contract dispatch and signature collection with clients and courier partners.
  • Ensure signed SPAs are verified, complete, and properly recorded to support downstream departments (Finance, Registration, Handover).


3. Compliance, Coordination & Service Support (~10%)

  • Ensure all transactions adhere to RERA/DLD regulatory requirements.
  • Monitor payment plans, proof of payments, and coordinate with Finance for reconciliation.
  • Provide accurate and timely responses to internal and external stakeholders regarding contracts, unit status, or compliance matters.
  • Maintain data integrity, confidentiality, and adherence to SLAs.


Qualifications, Experiences, Skills:


Education

  • Bachelor’s degree in Business Administration, Contract Management, Real Estate, or related field.

Experience

  • Minimum 3 years of experience in real estate inventory management within a developer environment (mandatory).
  • Strong experience in contract preparation, SPA handling, and sales compliance processes.
  • Previous exposure to CRM systems such as Salesforce (required).

Technical Skills

  • Power BI : ability to create dashboards, reports, and data visualizations (strong requirement).
  • Advanced Excel : pivot tables, lookups, reconciliation, and forecasting models.
  • Familiarity with DOA, RERA/DLD requirements, and sales operations processes.
  • Excellent knowledge of document control and contract administration.

Optional Add-ons (Nice to Have)

  • Experience with PowerPoint for sales/management presentations.
  • Background in developer launches, inventory planning, or pricing support.
  • Experience working in large real estate groups (Shoba, Emaar, Aldar, etc.).

Soft Skills

  • Strong detail orientation and accuracy in data and documentation.
  • Ability to work under pressure and manage high-volume tasks.
  • Excellent communication and stakeholder coordination skills.
  • Problem-solving mindset and proactive approach to discrepancies.
  • Team-oriented, organized, and efficient in meeting SLAs.
