The Executive Level Administrator will provide executive level administrative support for the Office of the Chief Information Officer (OCIO) including the Office of the Director, Customer Experience Office, and Digital Services Office at the Centers for Disease Control and Prevention (CDC). This support is crucial for maintaining routine operations, especially as staff continue utilizing maximum telework flexibilities and working remotely.
Responsibilities:
a. Develop methods for tracking and analyzing administrative functions to identify and mitigate common issues and delays.
b. Maintain electronic calendars, schedule and coordinate meetings, resolve conflicts, and reschedule meetings as needed.
c. Provide an expedited onboarding checklist to streamline the process for new staff joining OCIO.
d. Assist with leadership travel arrangements, including researching locations, cost estimates, and preparing travel arrangements via Concur.
e. Schedule and track contractor and project touch points to optimize efficiencies across workstreams.
f. Collect and analyze data from various sources, input data into Excel spreadsheets and Word documents.
g. Plan special events or large meetings, ensuring meeting logistics are covered and agendas are developed.
h. Prepare daily briefing folders with concise outlines of anticipated events and notes on special issues.
i. Assist with various reports, data calls, and documentation tasks.
j. Maintain and update office files and systems.
This role requires a high level of attention to detail, discretion, and the ability to handle sensitive information with confidentiality. The Executive Level Administrator will play a vital role in supporting the OCIO leadership team and ensuring the smooth operation of administrative functions within the CDC.
