Executive Liaison

Overview
We are seeking a dynamic and highly organized Executive Liaison to serve as a vital connector between executive leadership and internal teams, clients, and external partners. Responsibilities

  • Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using tools such as Microsoft Outlook Calendar and Google Workspace.
  • Act as the primary point of contact for internal and external stakeholders, demonstrating excellent phone etiquette and professional communication skills across multi-line phone systems.
  • Assist with event planning for corporate meetings, conferences, and special events, ensuring all logistics are handled efficiently from venue arrangements to materials preparation.
  • Manage office operations by overseeing filing systems, data entry tasks, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, and transcribing meeting notes with precision.
  • Handle sensitive information with confidentiality and professionalism while performing clerical duties such as filing, data entry, and document proofreading.
  • Utilize office management skills to streamline workflows, improve organizational procedures, and enhance overall office efficiency.

Qualifications

  • Proven experience in executive administrative support or personal assistant roles within a professional office environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for document signing processes.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Demonstrated experience with event planning, project coordination, bookkeeping (QuickBooks preferred), and office management.
  • Exceptional typing speed combined with strong attention to detail for proofreading and transcription tasks.
  • Effective communication skills with professional phone etiquette and customer service aptitude.
  • Ability to handle multiple responsibilities simultaneously while maintaining accuracy and professionalism.
  • Experience with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and data entry systems is highly desirable.
