Executive Office Associate II

General Description:
The Executive Office Associate II - Talent Office provides high-level administrative support to executive leaders and serves as a liaison between senior leadership and key internal and external stakeholders. This position supports the work in the Talent Office by providing communication and technical support on the phone and through email, assisting with substitutes, onboarding, managing ordering of office supplies and services, and completing projects as assigned.
Essential Duties and Responsibilities:
- Plans, initiates, and carries to completion office support activities, coordinates with other executive support as necessary, and provides the first point of contact for the Talent Office.
- Deliver excellent customer service to internal and external stakeholders via centralized email accounts and a dedicated support line for staff and families, ensuring prompt and professional communication.
- Assists with the facilitation of hiring and onboarding, and with the dissemination of information to new hires.
- Composes correspondence, answers telephones, and emails, and informs and advises external stakeholders and employees on a variety of matters related to department operations and policies.
- Monitors and maintains records and action documents and follows up on work in progress to ensure timely response or action.
- Maintains Chief’s/Directors calendar as required, formats and types confidential and general correspondence, reports, and statistical data.
- Determines priority of matters of attention for the Chief/Directors, keeps the Chief/Directors advised of time-sensitive and high-priority issues, and ensures appropriate follow-up.
- Organizes and archives physical and electronic documentation and ensures record retention is compliant with division and state policies.
- Maintains office supplies by checking stock to determine inventory levels, anticipating needed supplies; placing and expediting orders.
- Develop and maintain positive working relationships with personnel across schools, central office departments, and community partner organizations.
- Supports payroll and leave for part-time Talent Office staff and facilitates the accounts payable and accounts receivable processes, including P-Card management for the Talent Office.
- Provides training of office procedures and practice for new Talent Office staff, as assigned.
- Supports the onboarding of Talent Office staff by ensuring that new hires have all materials, equipment (i.e. laptops, office materials, email access, etc.), and necessary office space.
- Maintain confidential and sensitive information at all times.
- Assumes responsibility for own professional growth and development by keeping current with the literature and new research findings.
- Contributes to team efforts by accomplishing related tasks as needed or assigned.
Qualifications:
- Bachelor’s Degree or five years’ experience in an associate/assistant role required.
- Strong alignment with the mission of Richmond Public Schools and a demonstrated interest in public education.
- Knowledge of office procedures, practices, and equipment, with the ability to quickly learn and adapt to the department’s operations.
- Proficiency in Google Workspace, Microsoft Office, and related applications, with experience in creating spreadsheets, mail merges, and other productivity tools, and a willingness to learn new technologies.
- Strong communication, organizational, and public relations skills.
- Ability to establish and maintain effective working relationships with others and adapt to changing priorities.
- Proven ability to manage multiple tasks simultaneously, organize work efficiently, and operate with minimal supervision.
- Demonstrated ability to use sound judgment, initiative, and professionalism in all tasks.
- Ability to collaborate with school administrators, teachers, counselors, and community partners.
- Bilingual skills to include Spanish are a plus.
