Executive Officer - Female

Position Overview

The Executive Officer will work directly under the CEO and act as the internal execution controller of the company.

This role ensures that all departments including Design, QS, Procurement, Project Management, Finance, and Sales & Marketing, deliver tasks on time and in alignment with company targets.

This is not a clerical role.
This is a performance and execution-driven position requiring authority, structure, and strong follow up skills.

Key Responsibilities

1. Daily Cross-Department Follow-Up

  • Monitor daily tasks across Design, QS, Procurement, Project, Finance, and Sales & Marketing departments
  • Ensure commitments and deadlines are met
  • Escalate delays directly to the CEO
  • Maintain structured task tracking system
  • Enforce accountability and follow-through culture

2. Sales & Marketing Performance Tracking

  • Track sales pipeline and proposal status
  • Monitor lead follow-ups and conversion timelines
  • Ensure proposals are submitted within agreed timeframe
  • Coordinate between Sales, Design, and QS for smooth proposal preparation
  • Track revenue targets and monthly sales performance

3. Proposal & Project Monitoring

  • Monitor proposal preparation timelines
  • Track project milestones and execution deadlines
  • Ensure proper interdepartmental handovers
  • Maintain internal progress dashboards

4. KPI & Performance Control

  • Monitor departmental KPIs
  • Enforce accountability culture
  • Prepare weekly executive performance reports for CEO

5. Governance & Process Discipline

  • Ensure approval matrix is followed
  • Track compliance and documentation deadlines
  • Support structured reporting systems and process improvements

6. Candidate Requirements

  • Female candidate preferred
  • 5–10 years’ experience in operations / project coordination / business administration/Sales and Marketing
  • Experience in construction, interior fit-out, or contracting industry preferred
  • Strong personality with disciplined follow-up ability
  • Comfortable pushing senior staff respectfully
  • Highly organized and detail-oriented
  • Strong communication skills (English required)
  • High integrity and confidentiality
