Executive Operations Assistant (CEO-Level | High-Growth Companies)

We are seeking a high-performance Executive Operations Assistant to work directly with the CEO across multiple fast-growing companies in roofing, education, and technology.

This is not an office manager role.

This position is the central point of coordination between the CEO and all departments across three companies. You will act as the “glue” that keeps operations aligned, ensuring priorities are clear, communication flows, and execution happens without anything falling through the cracks.

This role requires in-person presence at the CEO’s office each morning for daily alignment, planning, and execution. The remainder of the day may be handled remotely based on priorities.

In addition to operations, this role supports content and personal brand execution. You must be comfortable around cameras and assisting in content capture environments.

This is a fast-paced, high-responsibility role for someone who thrives under pressure, takes ownership, and moves quickly.

Key Responsibilities

  • Own and manage the CEO’s calendar, scheduling, and daily priorities
  • Lead daily in-person alignment with the CEO each morning
  • Act as the gatekeeper for all communication, tasks, and incoming requests
  • Coordinate across multiple companies (sales, operations, marketing, development)
  • Track key initiatives and ensure tasks are completed on time
  • Follow up relentlessly with team members to drive execution
  • Build and maintain systems for task tracking, reporting, and organization
  • Prepare summaries, reports, and updates for the CEO
  • Identify inefficiencies and proactively solve operational problems
  • Ensure nothing important falls through the cracks across all companies
  • Assist with content capture, coordination, and organization for social media
  • Be comfortable on camera when needed and support filming environments
  • Manage communication between CEO and marketing/editing teams for content

What This Role Is NOT

  • Not a front desk or receptionist role
  • Not a slow-paced administrative position
  • Not a standalone social media manager role

Requirements

  • Proven experience supporting a CEO, founder, or executive in a fast-paced environment
  • Strong organizational and prioritization skills
  • Ability to manage multiple moving priorities at once
  • Excellent communication skills (clear, direct, professional)
  • High level of ownership and accountability
  • Must be available in person each morning at the CEO’s office
  • Comfortable working in fast-moving, high-pressure environments
  • Comfortable around cameras and content creation environments
  • Basic understanding of social media platforms and content workflows
  • Tech-savvy with ability to quickly learn new systems

Preferred Experience

  • Experience in operations, project management, or startups
  • Familiarity with CRM systems (GoHighLevel is a plus)
  • Experience with project management tools (ClickUp, Notion, or similar)
  • Experience supporting content creators, founders, or personal brands
  • Familiarity with short-form content (Instagram, TikTok, YouTube Shorts)

Compensation & Benefits

  • Competitive base salary ($60,000–$80,000)

Job Type: Full-time

Pay: $60,000.00 - $73,274.57 per year
