Executive Operations Coordinator

Position Summary

The Executive Operations Coordinator serves as a critical partner to executive leadership, ensuring seamless coordination of administrative functions and operational priorities. This role goes beyond traditional administrative support by driving efficiency, managing cross-functional workflows, and enabling leaders to focus on high-impact strategic initiatives.

Key Responsibilities Executive Support

  • Manage complex calendars, scheduling, and prioritization of meetings across stakeholders

  • Prepare executives for meetings with agendas and briefing materials

  • Act as a gatekeeper and liaison for communication flow

Operational Coordination

  • Track and manage key initiatives and deadlines

  • Support execution of workflows and process improvements

  • Help coordinate cross-departmental projects

  • Assist in maintaining dashboards and reports for leadership

Project & Process Management

  • Assist in planning and execution of strategic projects

  • Identify inefficiencies and recommend improvements

  • Ensure alignment between priorities and execution

Communication & Stakeholder Management

  • Draft and manage executive communications

  • Interface with internal teams and external partners

  • Facilitate meetings and track action items

Administrative & Office Support

  • Oversee administrative systems and documentation

  • Support budgeting and vendor coordination

  • Assist with event planning and company initiatives

Qualifications

  • 3–5+ years of relevant experience

  • Strong organizational and time management skills

  • High level of discretion and professionalism

  • Excellent communication skills

  • Proficiency in Microsoft Office and project management tools
