Executive Personal Assistant

Dubai, United Arab Emirates

We are seeking a highly organized, proactive, and discreet Executive Personal Assistant (EPA) to support our executive leadership with both professional and personal administrative tasks. The EPA will serve as the primary point of contact, manage the executive’s schedule, coordinate communications, handle confidential information, and ensure the smooth running of daily operations. This role requires exceptional organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment.

Key Responsibilities:Administrative Support

  • Manage complex calendars, schedule meetings, appointments, and travel arrangements.
  • Screen calls, emails, and correspondence on behalf of the executive.
  • Prepare reports, presentations, meeting agendas, and other documentation.
  • Handle confidential documents with the utmost discretion.

Personal Assistance

  • Coordinate personal appointments, events, and household-related logistics as needed.
  • Arrange personal travel and accommodations.
  • Manage personal errands and tasks to support overall executive efficiency.

Communication & Liaison

  • Serve as the gatekeeper and liaison between the executive and internal/external stakeholders.
  • Draft, proofread, and send correspondence on behalf of the executive.
  • Maintain strong professional relationships with key contacts, clients, and partners.

Event & Project Coordination

  • Organize business events, offsites, and team-building activities.
  • Assist with ad hoc projects, research, and coordination of executive initiatives.
  • Track deadlines and follow up on action items across multiple projects.

Operational Support

  • Oversee office supplies, vendor coordination, and tech support for executive needs.
  • Anticipate needs and proactively resolve issues before they arise.
  • Maintain organized filing systems (digital and physical).

Qualifications:

  • Proven experience as an Executive Assistant or Personal Assistant (8+ years preferred).
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • High level of discretion, confidentiality, and professionalism.
  • Proficient in Microsoft Office Suite, Google Workspace, and calendar/email systems.
  • Ability to multitask and prioritize effectively under pressure.

Preferred:

  • Bachelor’s degree or equivalent experience.
  • Experience supporting C-level executives.
  • Familiarity with project management tools (e.g., Asana, Trello, Notion).
  • Flexible availability outside normal working hours, if required.
