Executive Personal Assistant

Established in 2018, we're a UK-founded SaaS company with our team based in Islamabad, Pakistan. Our core product is Engage — a well-established donation management system for the nonprofit sector, covering fundraising, marketing, analytics, communications, and more.


We're a small but growing team (11–20 people) looking for an organised & proactive Personal Assistant to join us — supporting our CEO with the day-to-day running of the business.

ABOUT THE ROLE

You will work directly with our CEO, who is UK-based, to keep things running smoothly across our B2B SaaS company. This includes:


▸ Taking ownership of the CEO's inbox, calendar, and day-to-day communications

▸ Communicating with clients, suppliers, employees and other stakeholders in a professional and efficient manner


The role requires excellent written and spoken English, strong organisational instincts, and the confidence to communicate professionally on behalf of senior leadership.

RESPONSIBILITIES

━━━━━━━━━


▸ Manage and triage the CEO's email inbox, drafting and sending responses where appropriate

▸ Organise and coordinate meetings, calls, and appointments across multiple time zones

▸ Prepare agendas, take minutes, and follow up on action items from meetings

▸ Chase outstanding client invoices and liaise with clients and the finance team to ensure timely payment

▸ Handle general administrative tasks including document preparation and record-keeping

▸ Screen and prioritise incoming calls and messages, escalating where necessary

▸ Book travel, accommodation, and logistics as required

▸ Support the CEO with ad-hoc research, reporting, and project coordination

▸ Identify and implement improvements to administrative processes and workflows

REQUIREMENTS

━━━━━━━━━

▸ 2+ years of experience in a PA, EA, or senior administrative role

▸ Excellent written and verbal communication skills — you will be communicating on behalf of the CEO

▸ Highly organised with strong attention to detail and the ability to manage competing priorities

▸ Comfortable working with email clients, calendars, and productivity tools (Microsoft 365, etc.)

▸ Discreet and trustworthy — you will have access to sensitive business information

▸ Experience with invoicing or basic finance administration is advantageous but not essential

WORK MODE

Hybrid — with an initial period based in our G11 office (Islamabad).


Working hours:

This role requires flexibility in both directions. You will need to regularly attend to matters outside of local hours to work across UK and international time zones, and to respond when priorities demand it. We take work/life balance seriously and will always try to give back what we ask for.
