Overview:
Seeking a highly organized, discreet, dependable Executive Personal Assistant to support a busy physician/business owner with personal, household, administrative, scheduling, vendor, pet care, travel, and client/VIP coordination.
Responsibilities include:
- Manage Google Calendar and prevent missed appointments or scheduling conflicts
- Coordinate personal, family, medical, lifestyle, and select business appointments
- Communicate with staff, vendors, clients, friends, and family as needed
- Schedule household maintenance, obtain quotes, coordinate vendors, and follow up on completion
- Handle errands, shopping, returns, specialty purchases, and time-sensitive requests
- Coordinate pet care, veterinary appointments, medication refills, and transportation
- Organize VIP/client gifts, birthdays, flowers, cakes, and personalized gestures
- Help prepare financial transaction summaries and documentation for accountant review
- Assist with vendor inquiries, product demos, inventory lists, and business support
- Arrange travel, transportation, accommodations, and itineraries
- Maintain contact lists, addresses, reminders, documents, and internal tracking systems

- Comfortable with both personal and business tasks
- Strong communication and follow-up skills
- Able to prioritize urgent requests calmly
- Comfortable using Google Calendar, Gmail, spreadsheets, notes, and task lists
- Has reliable transportation
- Comfortable with pets
- Prior personal assistant, executive assistant, household manager, or operations experience preferred
Pay: $30.00 - $40.00 per hour
