Executive - Scheduler - Talent Acquisition (On Contract)

Role Overview - We are seeking a highly organized and proactive Scheduler to join our Talent Acquisition team. The role involves managing end-to-end interview scheduling, ensuring a seamless experience for candidates, hiring managers, and recruiters. The Scheduler will play a key role in maintaining data accuracy, communication efficiency, and operational excellence within the recruitment process.

Key Responsibilities

  • Coordinate with recruiters to schedule interviews between candidates and hiring managers.
  • Liaise with hiring managers, recruiters, and candidates via email, phone, or ATS.
  • Send confirmation emails once interview dates and times are established.
  • Reschedule interviews as required, ensuring minimal disruption.
  • Track external candidates’ progress through pre-screening; follow up on pending applications.
  • Maintain data accuracy across all scheduling tools and systems.
  • Prepare and keep updated interview schedules and related data.
  • Ensure confidentiality, professionalism, and smooth communication at all times.
  • Support the TA team in delivering a high-quality candidate experience.

Key Skills & Competencies

  • Good in MS Excel and PowerPoint.
  • Excellent coordination, communication, and stakeholder management skills.
  • Ability to multi-task, remain flexible, and perform effectively under pressure.
  • Proactive, resourceful, and efficient with strong attention to detail.
  • Professional demeanor with a high sense of confidentiality.

Requirements

  • Prior minimum 1 year of corporate work experience is a must.
  • Candidate should preferably be based in Western Suburbs, with minimal travel involved.
  • Demonstrated ability to manage multiple priorities and deliver in a fast-paced environment.
  • Agile and adaptable, with strong organizational and problem-solving skills.
