Job Summary:
We are seeking a highly organized, professional, and proactive Executive Secretary to support our management team. This role combines administrative management, front office responsibilities, receptionist duties, personal assistant support, and client relationship management to ensure smooth day-to-day operations and excellent client experiences.
Key Responsibilities:
- Serve as the first point of contact for clients, visitors, and stakeholders at the front office.
- Build and maintain strong relationships with clients, addressing inquiries and ensuring high-quality service.
- Manage executive calendars, schedule meetings, and organize appointments efficiently.
- Handle incoming calls, emails, and correspondence professionally and promptly.
- Prepare reports, presentations, letters, and other documents for management.
- Maintain and organize office files, records, and databases.
- Assist management with personal tasks and day-to-day administrative duties.
- Coordinate internal and external meetings, events, and travel arrangements.
- Support team members and management in general office operations.
- Maintain confidentiality and handle sensitive information with discretion.
Qualifications & Skills:
- Bachelor’s degree or equivalent experience in Business Administration, Management, or related field.
- Proven experience as an executive secretary, personal assistant, or front office administrator.
- Experience in client relationship management or customer service is highly preferred.
- Fluency in Arabic is required.
- Female candidates preferred.
- Candidates of Arab, Russian, and European nationalities are encouraged to apply.
- Excellent organizational, multitasking, and time management skills.
- Strong written and verbal communication skills in English; Arabic proficiency is mandatory.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
- High level of professionalism, discretion, and attention to detail.
- Friendly, approachable, and able to manage client-facing responsibilities with poise.
