Position Overview
Our Client a well-reputed financial institution is seeking to hire an Executive Secretary to provide administrative and secretarial support to senior management. The ideal candidate should be self-motivated, growth-oriented, and passionate about learning and building a strong career.
Key Responsibilities
- Manage and maintain executive schedules, appointments, and travel arrangements.
- Handle incoming calls, emails, and correspondence; prioritize and route appropriately.
- Prepare and draft letters, memos, reports, and meeting minutes with accuracy.
- Organize meetings, conferences, and events; coordinate logistics and documentation.
- Maintain filing systems, both electronic and physical, ensuring easy retrieval.
- Assist in the preparation of presentations, reports, and confidential documents.
- Liaise with internal departments, clients, and external vendors on behalf of the executive.
- Track and follow up on pending tasks, deadlines, and commitments.
- Handle office coordination tasks such as stationery, supplies, and administrative support.
- Perform any other duties assigned by the executive to ensure efficient workflow.
Required Skills
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information.
- Professional attitude, strong work ethic, and attention to detail.
- Ability to multitask and work under pressure.
- Strong interpersonal and coordination skills.
