Job Summary
The Executive Secretary will provide high-level administrative and secretarial support to senior executive(s). This role requires exceptional organizational, communication, and multitasking skills, along with a high level of discretion in handling confidential information. The ideal candidate must have experience in international dealing and coordination with overseas clients, partners, or stakeholders. In addition to core administrative duties, the role will support social media operations, ensuring timely coordination, posting, and professional communication across official platforms.
Key Responsibilities
Executive & Administrative Support
- Manage and maintain executive calendars, schedules, appointments, and travel arrangements.
- Prepare, edit, and format professional correspondence, reports, presentations, and documents.
- Handle confidential and sensitive information with discretion and professionalism.
- Screen, prioritize, and respond to calls, emails, and requests on behalf of the executive.
- Liaise with internal departments and international clients, partners, and stakeholders to ensure effective communication.
- Organize and maintain physical and digital filing systems.
- Track assigned tasks, follow up on action items, and ensure timely completion.
Meeting & Coordination
- Coordinate internal and external meetings, including agenda preparation and minute-taking.
- Assist in planning and coordinating executive-level meetings, events, and engagements, including those involving international participants across different time zones.
Social Media Operations
- Support day-to-day social media operations, including scheduling and posting content on official platforms (LinkedIn, Facebook, Instagram, etc.).
- Coordinate with management or marketing teams to ensure accurate and timely social media updates.
- Monitor messages, comments, and basic engagement (as directed) while maintaining brand professionalism.
- Assist in organizing announcements, updates, and executive communications for social platforms.
Other Responsibilities
- Perform additional administrative and operational duties as assigned by management.
Qualifications & Experience
- Bachelor’s degree in Business Administration or a related field (Master’s preferred).
- Minimum 3–5 years of experience as an Executive Secretary, Executive Assistant, or similar role.
- Proven experience in international dealing, including coordination with overseas clients, partners, or executives.
- Proven experience in social media operations, content posting, or digital coordination.
- Excellent verbal and written communication skills (English proficiency required).
- Strong organizational, time-management, and multitasking abilities.
- High level of discretion in handling confidential and sensitive information.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Working knowledge of social media platforms and scheduling tools.
- Ability to work under pressure and meet deadlines efficiently.
