Executive Secretary

We are seeking a highly seasoned Executive Secretary to the CEO / Chairman to provide strategic, confidential, and high-level administrative support at the executive leadership level. The role requires extensive experience within the GCC construction industry, exceptional discretion, and the ability to manage complex executive affairs across multiple regions, including East Africa.

Key Responsibilities

  • Provide full-spectrum executive support to the CEO / Chairman, acting as a trusted right hand
  • Manage highly complex calendars, board schedules, executive travel, and confidential communications
  • Prepare, review, and coordinate board papers, executive reports, presentations, and official correspondence
  • Draft and manage communications on behalf of the CEO / Chairman with internal and external stakeholders
  • Coordinate Board of Directors and Executive Committee meetings, including agendas, minutes, and follow-ups
  • Maintain governance records, approvals, resolutions, and sensitive documentation
  • Act as a liaison with government authorities, partners, consultants, and senior stakeholders
  • Track strategic initiatives, action items, and deadlines to ensure timely execution
  • Support the CEO / Chairman during international travel, site visits, and business engagements, including assignments in East African countries

Qualifications & Experience

  • 5–10 years of experience supporting CEO / Chairman / Board-level executives, preferably in the construction or engineering sector
  • Mandatory GCC experience with strong understanding of regional business practices
  • Excellent command of written and spoken English (Arabic is a strong advantage)
  • Advanced proficiency in MS Office and executive-level reporting tools
  • Demonstrated ability to handle highly confidential and sensitive matters with discretion
  • Willingness and flexibility to travel to East African countries as required
