Role Overview:
Gerry’s Group is seeking a highly organized, proactive, and dependable Executive Assistant to support the CEO. This role requires strong coordination skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, service-driven environment. The ideal candidate will act as a key point of contact, ensuring seamless communication, efficient scheduling, and effective execution of day-to-day operations.
Key Responsibilities:
1. Executive Support & Calendar Management
- Manage and maintain the CEO’s calendar, ensuring efficient scheduling of meetings, appointments, and commitments.
- Prioritize and coordinate engagements in line with business and operational priorities.
- Prepare meeting agendas, briefs, and relevant documentation in advance.
2. Communication & Coordination
- Manage incoming correspondence, including emails and calls, and respond on behalf of the CEO when required.
- Draft professional emails, letters, reports, and internal communications.
- Coordinate with internal departments and external stakeholders to ensure timely information flow.
3. Meeting Management & Follow-Ups
- Arrange and coordinate meetings, including logistics, documentation, and minute-taking.
- Track action points and ensure timely follow-ups with concerned teams.
- Support in aligning cross-functional teams on key deliverables.
4. Travel & Administrative Logistics
- Plan and coordinate local and international travel, including visa processing, accommodation, and transportation.
- Prepare detailed travel itineraries and manage expense documentation.
5. Confidentiality & Documentation
- Handle sensitive and confidential information with a high level of discretion.
- Maintain organized records of important business documents, reports, and correspondence.
6. Stakeholder Management
- Act as a liaison between the CEO and internal departments, senior management, clients, and partners.
- Ensure professional representation of the CEO’s office in all interactions.
7. Operational & Special Projects Support
- Assist in execution of special assignments, projects, and business initiatives.
- Coordinate with various departments to ensure timely completion of tasks and projects.
- Provide administrative and operational support for ongoing business activities.
Requirements:
Education:
- Bachelor’s degree in Business Administration, Communications, or a related field.
Experience:
- 1-2 years of experience in executive support or administrative roles, preferably in a corporate or service-oriented organization.
Skill Set:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Ability to work under pressure and manage tight deadlines.
