Executive Secretary

Key Responsibilities:

  • Act as the trusted support to the General Manager, managing calendars, meetings, travel arrangements, and correspondence while ensuring effective communication across all hotel departments.
  • Serve as a liaison between the General Manager, hotel staff, guests, and external stakeholders.
  • Support the General Manager on various projects, ensuring deadlines are met and objectives achieved.
  • Coordinate meetings as required, including organizing and attending the weeklies meetings.
  • Draft responses to guest questionnaires, concerns, complaints, and other correspondence for the General Manager’s approval.
  • Translate communications and assist in representing the General Manager when required
  • Prepare complimentary forms, upgrade requests, and gift vouchers as needed.
  • Understand the responsibilities of all hotel departments and collaborate closely with them.
  • Handle sensitive information with the utmost discretion, maintaining confidentiality at all times.
  • Demonstrate a professional attitude and behavior at all times.
  • Establish and maintain various filing / records / database of business contacts, trace pending items and follow up as appropriate
  • Attend executive meetings to record accurate minutes and track follow-up action items.
  • Coordinate logistics for Senior Executive meetings, conferences, and corporate events.
  • Screen and redirect incoming phone calls and emails, prioritizing urgent matters.
  • Draft, proofread, and format official correspondence, memos, and professional reports.
  • Maintain highly organized electronic and physical filing systems for easy information retrieval.

Requirements:

  • Saudi National

  • Bachelor’s degree in business administration, Office Management, or a related field is typically preferred.

  • Previous experience as a Personal Assistant, Executive Assistant supporting senior leadership, or similar role (hospitality experience preferred)

  • Excellent organizational and time management skills

  • High level of professionalism and attention to detail

  • Strong English and Arabic proficiency required (translation/interpretation ability preferred)

  • Proficiency in Microsoft Office

  • Experience with hotel PMS systems is a plus

  • Superior time-management and the ability to prioritize competing tasks in a fast-paced environment.

  • Proven ability to manage confidential data and maintain integrity.
