Al Jazeera Medical Center is seeking a highly organized, professional, and proactive Executive Secretary to provide comprehensive administrative and secretarial support to the Managers and Human Resources (HR). The ideal candidate must possess exceptional proficiency in Microsoft Office, particularly Word and Excel, and be fully bilingual (Arabic and English) to manage executive communications effectively.

Key Responsibilities

Executive Support & Schedule Management:

  • Manage and maintain complex calendars for the executive team, including scheduling meetings and appointments
  • Act as the primary point of contact and professional gatekeeper for the executive offices.

Professional Correspondence & Documentation (High Priority):

  • Draft, review, and proofread professional correspondence, reports, and presentations. (A strong ability to compose professional emails is essential.)
  • Prepare and organize all necessary documents and materials for executive meetings.
  • Maintain an efficient and confidential filing and document management system.

HR and Coordination Support:

  • Assist the Head of HR with administrative tasks, such as scheduling candidate interviews and maintaining confidential employee records.
  • Handle general office management tasks as assigned.

Technical & Data Management:

  • Utilize Microsoft Excel to create, format, and maintain accurate spreadsheets for tracking various executive and departmental data.
  • Utilize Microsoft Word to generate and format executive documents and reports.

Qualifications & Requirements

Experience - Minimum of 3 years of experience as an Executive Secretary, Administrative Assistant, or similar role supporting senior management.

Education - Diploma in Business Administration, Secretarial Studies, or a related field.

Language Skills (MANDATORY)

Fluent in speaking, reading, and writing both Arabic and English to handle all executive correspondence and communication.

Technical Skills (MANDATORY)

Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Demonstrated ability to create and manage professional documents and data.

Soft Skills

Exceptional organizational skills, ability to multitask, and a strong sense of professionalism and confidentiality.
