Career Overseas Consultants Limited is looking for Executive Secretary cum Office Manager


Job Description / Responsibility

  • Provide executive-level secretarial and administrative support to partners, lawyers, and senior management.
  • Manage calendars, appointments, meetings, and correspondence effectively.
  • Draft, prepare, and format legal documents, contracts, and official letters with accuracy and professionalism.
  • Handle document management, including filing, scanning, and maintaining digital and physical legal records.
  • Manage client communications, including emails, phone calls, and meeting coordination with utmost confidentiality.
  • Organize and maintain office records, reports, and filing systems (physical and digital).
  • Coordinate office operations and administrative activities to ensure efficiency across departments.
  • Oversee IT-related tasks, including installation, configuration, and maintenance of computer systems, software, and hardware.
  • Manage cloud-based storage systems (e.g., Microsoft 365, Google Workspace) for secure document and data management.
  • Ensure data backup, cybersecurity, and confidentiality of all firm-related and client information.
  • Liaise with IT vendors and service providers for system maintenance and technical support.
  • Support management in preparing presentations, reports, and documentation for client meetings and internal use.


Educational Requirements

  • Bachelor of Law (LLB)
  • Master of Law (LLM)
  • Additional training or certification in Office Administration, IT, or Business Management will be an advantage.


Experience Requirements

  • At least 4 year(s)
  • The applicants should have experience in the following business area(s):
  • Law Firm


Additional Requirements

  • Strong command of English (written and verbal); Arabic proficiency is an advantage.
  • Excellent document drafting, formatting, and typing skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and cloud platforms (Microsoft 365, Google Workspace, or similar).
  • Basic understanding of networking, data security, and backup systems.
  • Exceptional organizational, time management, and multitasking abilities.
  • High level of confidentiality, professionalism, and attention to detail when handling legal matters.
  • Ability to work independently and manage multiple priorities efficiently.
