Executive Secretary cum Office Manager
Job Description / Responsibility

Provide executive-level secretarial and administrative support to partners, lawyers, and senior management.

Manage calendars, appointments, meetings, and correspondence effectively.

Draft, prepare, and format legal documents, contracts, and official letters with accuracy and professionalism.

Handle document management, including filing, scanning, and maintaining digital and physical legal records.

Manage client communications, including emails, phone calls, and meeting coordination with utmost confidentiality.

Organize and maintain office records, reports, and filing systems (physical and digital).
-
Coordinate office operations and administrative activities to ensure efficiency across departments.

Oversee IT-related tasks, including installation, configuration, and maintenance of computer systems, software, and hardware.

Manage cloud-based storage systems (e.g., Microsoft 365, Google Workspace) for secure document and data management.
-
Ensure data backup, cybersecurity, and confidentiality of all firm-related and client information.

Liaise with IT vendors and service providers for system maintenance and technical support.

Support management in preparing presentations, reports, and documentation for client meetings and internal use.
Educational Requirements
-
Bachelor of Law (LLB)
-
Master of Law (LLM)
-
Additional training or certification in Office Administration, IT, or Business Management will be an advantage.
Experience Requirements

At least 4 year(s)

The applicants should have experience in the following business area(s):

Law Firm
Additional Requirements

Strong command of English (written and verbal); Arabic proficiency is an advantage.

Excellent document drafting, formatting, and typing skills.

Proficiency in MS Office (Word, Excel, PowerPoint) and cloud platforms (Microsoft 365, Google Workspace, or similar).

Basic understanding of networking, data security, and backup systems.

Exceptional organizational, time management, and multitasking abilities.

High level of confidentiality, professionalism, and attention to detail when handling legal matters.

Ability to work independently and manage multiple priorities efficiently.
