Position Overview
We are seeking a proactive, highly organized Executive Secretary with a strong background in engineering consultancy to support our senior management team. The ideal candidate will have experience in handling technical documentation, coordinating with engineering departments, and managing high-level administrative tasks in a fast-paced consultancy environment.
Key Responsibilities
Provide executive-level administrative support to senior management and project directors.
Manage calendars, schedule meetings, prepare agendas, and draft minutes for technical and management meetings.
Handle confidential correspondence, internal memos, and formal letters in both English and Arabic (if applicable).
Prepare and format technical reports, tender documents, presentations, and project correspondence.
Maintain organized filing systems for project documentation, submittals, NOCs, and authority letters (DMT/ADM/ITC/ADQCC/etc.).
Coordinate with design, supervision, contracts, and finance teams to support day-to-day operations.
Track submission deadlines, circulate updates, and follow up on pending actions with internal teams and external stakeholders.
Assist in project onboarding, mobilization schedules, and staff deployment documentation.
Support tendering, procurement, and client communication tasks as requested.
Qualifications & Skills
Diploma or Bachelor’s degree in Engineering, Business Administration, or related field.
Minimum 3–6 years of experience as an Executive Secretary in an engineering consultancy.
Strong knowledge of engineering document workflows, submittals, and authority requirements.
Excellent written and verbal communication skills in English (Arabic is an advantage).
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with document control systems.
Ability to multitask, prioritize, and work under pressure with strict deadlines.
High level of professionalism, confidentiality, and attention to detail.
