Job Purpose
The Executive Secretary provides high-level administrative and operational support to the Office of the President/Vice President. The role is responsible for ensuring the efficient functioning of executive operations, supporting decision-making processes, and facilitating effective communication and coordination with internal and external stakeholders.
Qualifications & Education
- Bachelor's or Master's degree in Business Administration or a related field.
Experience
- Minimum of 4 to 7 years of administrative experience supporting senior or executive-level management, preferably within a higher education or similarly structured professional environment.
Skills / Knowledge / Competencies
- Excellent organizational and multitasking abilities.
- Bilingual proficiency in Arabic and English is mandatory.
- High level of professionalism, discretion, and confidentiality.
- Strong decision-making skills with the ability to work independently.
- Knowledge of academic and administrative procedures, student policies, and university protocols.
- Strong interpersonal and communication skills when dealing with diverse stakeholders.
- Ability to manage and coordinate executive office operations efficiently.

Key Responsibilities
- Screen, review, and prioritize incoming correspondence, ensuring the President/Vice President is informed of critical matters.
- Coordinate and organize official visits, including dignitaries and VIP guests, in collaboration with the Protocol Director.
- Support the execution of directives, projects, and strategic initiatives, ensuring timely follow-up and completion.
- Draft, review, and edit official correspondence, reports, and speeches, particularly in Arabic.
- Verify the accuracy and quality of sensitive Arabic documents prepared by other departments.
- Manage and maintain the President's/Vice President's calendar, including meetings and appointments.
- Organize meetings and ensure all participants are informed of schedules, agendas, and logistics.
- Serve as a professional point of contact for internal and external stakeholders.
- Handle multiple tasks and priorities simultaneously while meeting deadlines.
- Maintain strict confidentiality of sensitive information and documents.
- Represent the President's Office in communications with external entities, partners, and officials.
- Ensure high standards of accuracy, efficiency, and professionalism in all deliverables.
