Position: Executive Secretary - Student Services
Work Schedule: 12 months, 260/261 Contract Days
Start Date: As soon as possible
Salary: Starting at $67,000, based on experience and education

Summary:
Provide support for the Director in achieving the department goals and meeting the needs of the public.
Essential Duties & Responsibilities:

Delegate assignments, train and supervise Student Services clerical staff
-
Provide secretarial support to the director and coordinator
-
Serve as the ISD622 Coordinator for Ramsey County Local Collaborative Time Study
-
Organize confidential staff evaluations, performance reviews and Teacher Observation Reports
-
Support Early Admission to Kindergarten program
-
Assist in the preparation of data for School Board meetings
-
Assist with annual staffing process
-
Create, modify and maintain spreadsheets for use in staffing, projections, programs and survey results
-
Monitor and maintain sick leave and vacation time records for staff; process payroll action forms
-
Back-up for accountant when absent, including approving timesheets, authorizing account codes, Payroll Action Forms, etc.

Prepare and maintain Homebound procedures and roster
-
Secure Homebound teachers when necessary
-
Order and distribute updated Special Education Parental Rights and due process file folders

Evaluate, authorize and forward to the 916 EARS office requests for audiological and vison services

Reserve facilities for departmental staff, coordinate conference registrations and travel
-
Schedule interviews for director and supervisors

Maintain confidential student staff files
-
Handle concerns, inquiries and requests related to student services from staff, parents and other customers

Process license waivers, expedites and variances for required teaching staff
-
Oversee vetting process for outside agencies and student teachers or interns
-
Other duties as assigned
Required Qualifications:
-
Bachelor's Degree or minimum of two years secretarial experience
-
Post-secondary secretarial training
-
Proficient computer skills, including Word and Excel programs
-
Experience in the supervision of clerical staff
-
Ability to organize, prioritize and schedule work with minimal supervision

Ability to maintain confidentiality
-
Excellent verbal and written communication skills
-
Ability to meet deadlines and multi-task with frequent interruptions
