Job Summary
The Executive Specialist to Executive Director of Human Resources supports the district's mission by performing specialized clerical and technical duties that advance the operations of the Human Resources department. This position provides comprehensive administrative support to the Executive Director of Human Resources, General Counsel, and Human Resources staff. The Executive Specialist maintains a high level of confidentiality, delivers responsive customer service, and ensures accuracy and efficiency in all assigned tasks.
Essential Duties and Responsibilities
Provide administrative support to the Executive Director of Human Resources. (40%)

Tracks and monitors departmental budget expenditures and balances; shares monthly reports with the Executive Director.

Manages department purchases and reconciliation in accordance with district policies and procedures.

Prepares correspondence, reports, graphs, presentation slides, and other professional documents.

Proofreads, edits, and revises correspondence and documents, as needed. Following approval, sends system communications on behalf of the Executive Director.

Utilizes technology platforms (e.g., Microsoft Office, Google Workspace, district software) with proficiency.

Coordinates meetings, events, training sessions, and executive schedules.

Creates and maintains databases, files, seniority lists, and confidential records.

Compiles, researches, and gathers information and data as requested.

Coordinates and tracks workplace investigations by scheduling meetings, issuing required notices, maintaining confidential documentation, and managing a centralized tracking system of case details, including allegations, employee data, and outcomes.

Supports process development and implementation of HR processes and procedures.

Leads or supports special projects on behalf of the Executive Director, including creating tracking systems or reporting tools, organizing legacy files, updating job descriptions, etc.

Demonstrates adaptability, problem-solving skills, and escalates issues appropriately.
Coordinate student teacher placements and provide administrative support to the Human Resources Department. (30%)

Coordinates student teacher placement by communicating with universities, school sites, and student teachers.

Tracks placements, manages pre-employment processes, and addresses related inquiries.

Receptive to feedback from stakeholders and identifies opportunities for process improvement.

Administers HR-related technology platforms (Droplet, Trusted Employees, Quest Diagnostics, etc.), including account management, user access, and troubleshooting.

Screens calls and addresses questions or concerns; escalates issues to leadership as necessary.

Prepares materials for monthly School Board meetings.

Creates interview materials and onboarding resources; supports onboarding of new HR staff.

Processes, updates, and tracks High Needs MOU and ESP professional development forms.

Maintains and updates the district staff handbook on a yearly basis. Coordinates review with the Executive Director, General Counsel and designated members of the HR team.
Provide customer service to staff, students, and community members on behalf of the Executive Director of Human Resources. (15%)

Delivers high-quality customer service through responsive, respectful and clear communication.

Identifies solutions and escalates issues to the Executive Director or member of the HR leadership team, when appropriate.

Screens calls and meeting requests to support the HR Leadership Team. Serves as a gatekeeper with the ability to assess and prioritize scheduling and escalation.

Determines when to handle inquiries directly or refer them to appropriate leadership.
Provide administrative support to the district's General Counsel. (15%)

Compiles and redacts data, reports, and materials as requested.

Schedules meetings and reserves rooms as needed.

Supports process development and implementation under the direction of the General Counsel.
Performs other comparable duties of a like or similar nature as assigned.

Provides back-up administrative support to the HR front desk as needed.

Attends district in-service training sessions and meetings.

Performs other comparable duties as directed by the Executive Director of Human Resources.
Minimum Qualifications

An associate's degree, or at least two (2) years of college-level coursework, in human resources, business administration, or a related field.

Five (5) years of experience in administrative support, human resources, or a related field.
Preferred Qualifications

Previous experience performing administrative support functions and responsibilities in a public sector environment.

HR Generalist certification or experience.
Essential Knowledge, Skills, and Abilities
Physical Demands and Working Conditions
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Work involves frequent sitting, talking, hearing, and the use of hands to operate a computer and standard office equipment. The employee may occasionally stand, walk, reach with hands and arms, and stoop or crouch. Visual acuity is required for reading and preparing documents, viewing a computer screen, and performing administrative tasks with accuracy.
The ability to work in person is an essential job duty. Work is performed in a standard office environment within a school or district administrative setting. This position is eligible for up to one day/week of remote work at the Executive Director's discretion. The position involves minimal exposure to environmental hazards or physical risks. Tasks are performed in a climate-controlled space with access to necessary technology and resources. The work is deadline-driven and may involve multiple priorities and frequent interactions with staff, students, or community members.
Hiring Range: Pay Grade 107, $28.77 to $35.79 hourly (see memorandum of understanding regarding updated salary ranges)
Job type: Full-time, 260/261 workdays per year
