Duties
- Manage complex calendars, schedule appointments, and coordinate meetings
- Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail.
- Organize and facilitate event planning for meetings, conferences, and company functions from start to finish.
- Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette while directing calls efficiently.
- Perform data entry, filing, and record-keeping tasks to maintain organized digital and physical files.
- Support bookkeeping activities, including invoicing, expense tracking, and basic bookkeeping duties.
- Assist with project coordination by tracking deadlines, preparing materials, and communicating with team members to ensure timely completion of tasks.
- Provide exceptional executive administrative support by managing travel arrangements, preparing agendas, and handling confidential information discreetly.
- Oversee office management responsibilities such as supply inventory, front desk duties, and maintaining a welcoming environment for visitors.
Requirements
- Proven experience in administrative roles or as a personal assistant with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Familiarity with office management software such as DocuSign for electronic signatures and multi-line phone systems.
- Excellent typing speed combined with proofreading skills to ensure error-free documents.
- Experience in event planning, project coordination, bookkeeping (QuickBooks), and office management is highly desirable.
- Strong communication skills with professional phone etiquette and customer service orientation.
- Ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
- Knowledge of clerical procedures including filing systems, transcription services, and data entry processes.
