A Boutique Billion-Dollar Investment Advisory Firm, recently launched and financially backed by prestigious global hedge fund, and located in Midtown Manhattan is seeking a new Full-time/Permanent Executive Personal Assistant/Chief of Staff to join its successful and growing team! This person will be providing direct, primary 1:1 support to the Founder & CIO, who is AMAZING! He is looking for a true right-arm, thought partner who will act as an extension of him in all areas of his life. This unique hybrid role sits at the intersection of professional effectiveness and personal optimization, serving as an extension of the CIO to ensure each day runs smoothly, strategically, and with maximum impact — across both work and life. This is not a traditional administrative role. It’s a fast-paced, high-trust position for someone who thrives in dynamic environments, loves building structure, and is eager to operate close to the investment process and decision-making rhythm. Candidates must have a minimum of 7-10+ years of applicable high-level executive business and personal administrative experience and a Bachelor’s degree is required. They should have a high EQ and be incredibly smart, motivated/ambitious, eager to learn, high energy, proactive, organized, hardworking, tech/AI savvy, and accustomed to working in a fast-paced, ever-changing environment. Salary depends on experience (150-200k+ base), plus discretionary bonus eligibility. 100% company-paid benefits (medical/dental/vision/etc.), 401k, catered lunch M-T, breakfast daily, etc.

Hours are 8:00am-5:00pm, with flexibility as needed (this is not a 24/7 role as the executive is incredibly respectful of his assistant’s time and very focused on their quality of life). 5 days in office.
Responsibilities:

Operational cadence: Maintain a rolling 24–48-hour view of priorities, meetings, and deliverables to ensure nothing falls through the cracks.

Meeting preparation & follow-through: Organize all materials, research, and notes before meetings; capture outcomes and manage follow-ups.

Research process coordination: Support the Managing Partner’s research touchpoints, ensuring discussions are productive and well-prepared.

Calendar management: Manage scheduling proactively, protecting time for preparation, reflection, and strategic thinking.

Communication triage: Streamline inbound communication by filtering emails and Slack messages, flagging what’s most important.

Idea routing: Capture and organize the Founder’s flow of ideas and research leads, directing them to the appropriate team members.

Daily alignment: Lead brief morning check-ins to summarize the day’s priorities, updates, and areas of focus.

Essentially, you’ll serve as a high-velocity coordinator sitting close to the investment process — a right-hand operator ensuring momentum, clarity, and focus.

Trust & estate coordination: Liaise with lawyers, advisors, and accountants to keep complex matters organized.

Personal finance oversight: Track bills, payments, and other financial logistics at a high level.

Family planning & scheduling: Manage key dates, calendars, and travel arrangements.

Household operations: Source, vet, and coordinate personal support roles (e.g., driver, trainer, home staff).

Life design projects: Research and plan potential moves, vacation homes, or travel experiences; create systems for a more intentional lifestyle.

Health & wellness coordination: Support routines and logistics for fitness, family activities, and self-development.
Required Qualifications:

Minimum 7–10+ years of applicable high-level executive business and personal administrative experience in a fast-paced finance environment such as consulting, investing, operations, or a chief-of-staff–type role.

Bachelor’s degree is required.

Exceptional written and verbal communication skills, with the ability to convey complex ideas clearly and persuasively.

Strong project management and prioritization abilities, adept at balancing multiple initiatives and meeting tight deadlines.

Tech- and systems-savvy, with proven ability to design, implement, and maintain efficient personal and team workflows.

Bonus: Experience providing strategic and operational support to executives in investment or entrepreneurial settings.
