Siemens Healthineers is looking for an experienced candidate to join our North American Exhibit Management team based in the Malvern, PA office in a remote capacity with travel for team collaboration. Our exhibit management organization provides convention and tradeshow management services in the United States supporting our regional and global business. We function as the trusted partner to our stakeholders by developing creative and strategic solutions that present our diverse portfolio while supporting the overall Healthineers strategy. This position is part of a Team who work together to provide for the 130+ Conferences/Tradeshows annually across our multiple business areas and business lines.

Expectations:

  • Lead the planning and execution of 18+ high- to mid-level conferences across North America, including U.S.-based global conferences/tradeshows, with minimal oversight.
  • Manage program budgets of up to $5M in compliance with Siemens financial policies and processes.
  • Deliver accurate, timely, and effective reporting.
  • Build and maintain strong working relationships with executives, internal stakeholders, vendors, associations, and colleagues.

Responsibilities:

The Exhibit Manager is responsible for overseeing all aspects of conference and tradeshow management, ensuring that each aligns with the business strategy and delivers exceptional results. Key responsibilities are detailed below.

  • Project Management: Act as the project manager for all scheduled conferences/tradeshows, including developing strategic project plans, organizing and managing core teams, and fulfilling financial obligations. This role requires coordination across the entire project lifecycle to achieve successful outcomes.
  • Stakeholder Collaboration: Work closely with internal stakeholders such as Communications, Marketing, Product, Finance, Event Management, Technical, and others for each conference/tradeshow. Oversees project plan, defines roles and responsibilities for conference team members and ensures regular project team meeting cadence. Collaboration ensures that all aspects of the program are aligned with organizational goals and executed efficiently.
  • Exhibit Logistics Management: Oversee and execute all exhibit logistics, including design, services, housing & registration, sponsorships, etc. Ensure operational excellence by maintaining, enhancing, and executing procedures throughout the entire conference cycle, from pre-conference planning to post-conference wrap-up.
  • Association and Sponsorship Coordination: Serve as the primary contact for associations to develop and finalize contracts and agreements that support the business strategy. Facilitate sponsorship activities, such as submitting materials, in coordination with marketing and communications colleagues.
  • Vendor Management: Manage relationships with vendors to ensure deliverables are met within budget. Research and source appropriate vendors in partnership with procurement as needed, maintaining effective communication and oversight.
  • Problem Solving: Demonstrate expert problem-solving skills and manage multiple priorities simultaneously. Remain calm under pressure and educate stakeholders about risks involved in logistics planning, guiding them toward productive solutions.
  • Budget Management: Build and manage budgets ranging from $5,000 to over $2,000,000, adhering to financial processes and policies. Responsibilities include handling vendor quotes, payments, and reconciliation to maintain fiscal integrity.
  • Reporting and Program Wrap-Up: Create and deploy surveys and facilitate program debriefs to gather feedback and complete wrap-up activities, supporting continuous improvement. Monitor and report on key performance indicators for each conference, providing valuable insights for future planning and execution.
  • Creative Elements and Program Execution: Drive creative elements and execution for programs when required, ensuring that each conference/tradeshow is engaging and memorable. Lead exhibit design process leveraging specialized expertise as needed to deliver compelling experiences.
  • Compliance and Transparency: Ensure compliance and transparency reporting as required by organizational and regulatory standards.
  • Onsite Management: Provide onsite management when necessary for conferences and tradeshows; overseeing execution and resolving issues as they arise to ensure a successful conference/tradeshow.

Qualifications:

  • A seasoned professional with 8-10 years experience in exhibition or conference management required; with healthcare preferred
  • Bachelor's degree is preferred
  • Organized, driven, with high attention to detail
  • Highly accountable and holds stakeholders and vendors to high level of accountability
  • Able to manage complex logistical planning and execution
  • Ability to multi-task when managing multiple conferences/tradeshows at one time
  • Excellent collaboration, communication, organizational, and problem-solving skills
  • Ability to work within a complex matrixed organization
  • Engage, present, and influence senior level management with confidence
  • Requires approximately 20-30% travel including weekend and working extended hours for assigned conferences.

The base pay range for this position is:

$105,150 - $144,584

Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

If this is a commission eligible position the commission eligibility will be in accordance with the terms of the Company's plan. Commissions are based on individual performance and/or company performance.
