The successful candidate’s key responsibilities include, but are not limited to, the following:

  • Have an understanding of a project lifecycle
  • Organizing and managing actions related to ongoing projects.
  • Create schedules and collect documents to track projects and outcomes.
  • Translate metrics into actionable, meaningful intelligence.
  • Schedule regular meetings and record decisions (e.g. assigned tasks and next steps)
  • Break projects into doable tasks and set timeframes and goals
  • Create and update workflows
  • Prepare and provide documentation to internal teams and key stakeholders
  • Retrieve necessary information (e.g. user/client requirements and relevant case studies)
  • Track expenses and predict future costs
  • Monitor project progress and address potential issues
  • Coordinate quality controls to ensure deliverables meet requirements
  • Measure and report on project performance
  • Communicate with stakeholders about scheduling, staffing and technical requirements.
  • Act as the point of contact for all participants
  • Carrying out general support services to the wider team
  • Manage and maintain portfolio management databases, ensuring data accuracy, consistency, and confidentiality.
  • Collaborate effectively across cross-functional teams, including coordination with remote colleagues internationally.
  • Any other administrative tasks as assigned.

Qualifications

  • Bachelor’s degree in business administration or related field.
  • 2–4 years of relevant experience as an Executive Assistant or in administrative support
  • Self-motivated with a strong sense of ownership and accountability
  • Ability to work effectively in a team environment, strong leadership and people management skills Ability to work under pressure and achieve results
  • Strong business and commercial awareness
  • Excellent analytical and report writing skills
  • Excellent organizational and planning skills
  • Legal and moral integrity
  • Strong multitasking, troubleshooting and problem-solving skills
  • Advanced proficiency in Microsoft Office, particularly PowerPoint and Excel.
  • Fluency in English (reading, speaking, and writing). Preference will be given to bilingual candidates (Arabic/English).
