Job Purpose
To manage end-to-end export documentation and coordination, ensuring compliance with international trade regulations, timely shipment execution, accurate documentation, and smooth liaison with internal teams, CHA, freight forwarders, banks, and customers.
Key Responsibilities (End-to-End Export Documentation)1. Pre-Shipment Documentation
- Prepare and verify export documents including:
- Proforma Invoice
- Commercial Invoice
- Packing List
- Purchase Order compliance
- Shipping Instructions
- Ensure correct HS codes, product descriptions, and country-specific requirements.
- Coordinate with Sales, Production, QA/QC, and Stores for shipment readiness.
2. Regulatory & Compliance Documentation
- Prepare and manage:
- Bill of Lading / Airway Bill
- Certificate of Origin (Preferential / Non-preferential)
- MSDS, COA, Test Reports
- Export Declaration Forms (EDF / Shipping Bill)
- Ensure compliance with DGFT, Customs, GST, and other export regulations.
- Maintain records for audits and statutory compliance.
3. Coordination with CHA & Freight Forwarders
- Coordinate with Customs House Agents (CHA) for:
- Shipping Bill filing
- Customs clearance
- Examination and stuffing
- Liaise with freight forwarders for vessel booking, schedules, and tracking.
- Ensure timely dispatch and shipment confirmation.
4. Post-Shipment & Banking Documentation
- Prepare post-shipment documents for banks:
- Invoice
- Packing List
- BL / AWB
- COO
- Insurance copy
- Submit documents under LC / DA / DP terms within timelines.
- Track payment realization and follow up with bank and customers.
5. Customer & Internal Coordination
- Share shipment documents with overseas customers.
- Handle export-related queries and documentation clarifications.
- Coordinate with Finance for export incentives, GST refunds, and reconciliation.
6. Export Incentives & Reporting
- Assist in export incentive schemes such as:
- RoDTEP / Drawback (as applicable)
- Maintain MIS reports on shipments, documentation status, and payments.
- Maintain systematic export records and document archives.
Desired Candidate ProfileQualification
- Graduate in Commerce / International Business / Logistics
- Additional certification in Export–Import Management preferred
Experience
- 2–5 years of experience in export documentation
- Experience in chemical / manufacturing industry preferred
Skills & Knowledge
- Strong knowledge of export documentation and INCOTERMS
- Familiarity with LC terms, customs procedures, and GST on exports
- Good coordination and follow-up skills
- Proficiency in MS Excel and ERP systems
- Attention to detail and compliance-oriented mindset
