Job Summary:
The Export Documentation Executive will be responsible for preparing, managing, and verifying all export-related documents in compliance with international trade laws and customer requirements. The role ensures smooth and timely shipment of goods, coordination with freight forwarders, customs, and clients, and maintaining accurate export records.
Key Responsibilities:
- Prepare and verify export documentation such as Invoice, Packing List, Bill of Lading, Certificate of Origin, Shipping Instructions, and LC documents.
- Coordinate with shipping lines, freight forwarders, CHA, and transporters for timely dispatch of export consignments.
- Handle Letter of Credit (L/C) documentation as per the terms and conditions.
- Ensure compliance with export regulations and company policies.
- Communicate with international clients regarding shipment schedules and documentation.
- Maintain and update shipment records, documentation logs, and filing systems.
- Assist in post-shipment activities including tracking shipments and managing discrepancies.
- Liaise with the accounts department for payment realization and submission of export-related documents to the bank.
- Prepare reports on export documentation activities and highlight delays or issues.
Required Qualifications & Skills:
- Bachelor’s degree in Commerce, International Business, Logistics, or a related field.
- 1–4 years of experience in export documentation (preferably in manufacturing or trading companies).
- Good knowledge of INCOTERMS, customs procedures, and export logistics.
- Proficiency in MS Office (Word, Excel, Outlook) and documentation software/portals.
- Strong attention to detail, organizational skills, and time management.
- Good written and verbal communication in English.
